Core Responsibilities

Primary Functions

  1. Process and post daily accounts receivable transactions in the company’s ERP or accounting system.
  2. Generate, review, and distribute customer invoices in a timely and accurate manner.
  3. Reconcile customer accounts to ensure all payments, credits, and adjustments are correctly applied.
  4. Monitor accounts for overdue payments and proactively follow up with customers to ensure timely collections.
  5. Research and resolve billing discrepancies, short payments, and unapplied cash issues.
  6. Prepare and maintain detailed aging reports and assist in analyzing trends in accounts receivable balances.
  7. Apply customer payments accurately through checks, ACH, wire transfers, and credit card transactions.
  8. Coordinate with the sales, operations, and customer service teams to resolve invoicing and collection issues.
  9. Assist with month-end closing activities by reconciling AR ledgers and generating financial reports.
  10. Support internal and external audits by gathering required documentation and ensuring compliance with accounting policies.
  11. Process credit memos, refunds, and write-offs following company guidelines and approval processes.
  12. Maintain accurate and organized electronic and paper records of all AR-related transactions.
  13. Assist with new customer account setup, verifying billing and payment details.
  14. Monitor incoming payment queues and ensure deposits are recorded daily.
  15. Escalate high-risk or delinquent accounts to management for review and collection strategies.
  16. Assist in preparing reports on cash collections, DSO metrics, and AR performance indicators.
  17. Support continuous improvement initiatives to streamline billing and cash application processes.
  18. Communicate courteously and professionally with customers to maintain positive relationships.
  19. Ensure compliance with company policies, GAAP standards, and internal financial controls.
  20. Provide administrative and analytical support to the Accounts Receivable Manager or Accounting Supervisor.
