Core Responsibilities

Primary Functions

  1. Act as the first point of contact for visitors and phone enquiries, professionally greeting clients and directing calls or messages as appropriate.
  2. Manage and maintain electronic and physical filing systems, ensuring documents, correspondence and records are accurately stored and easily retrieved.
  3. Schedule and coordinate appointments, meetings, conference calls and travel arrangements for supervisors, ensuring calendars are updated and conflicts resolved.
  4. Draft, type, edit and format correspondence, memos, reports, presentations and other business documents with a high degree of accuracy.
  5. Process incoming and outgoing mail, parcels and electronic communications; route to the appropriate recipients and manage distribution.
  6. Maintain office supplies inventory by monitoring levels, placing orders and negotiating with vendors to ensure cost-effective procurement.
  7. Assist with basic bookkeeping and expense tracking: prepare and submit expense reports, monitor petty cash and assist in budgetary matters.
  8. Maintain and update databases, spreadsheets and tracking systems related to staff, records, supplies, or project information.
  9. Prepare meeting agendas, take minutes, distribute materials and follow up on action items to support departmental and board meetings.
  10. Coordinate logistics for departmental events, conferences, training sessions or relocation activities including catering, venue setup, equipment and travel arrangements.
  11. Monitor office equipment, liaise with IT or maintenance providers and ensure that printing, copying, scanning, faxing and other systems are functioning properly.
  12. Manage confidential files, personnel documents and sensitive information with discretion, ensuring compliance with data protection and organisational policies.
  13. Provide general support to team members: assist with ad-hoc administrative tasks, research background information, compile reports and handle special projects as requested.
  14. Supervise or guide junior clerical staff when assigned, coordinate workload, delegate tasks and ensure departmental support functions are maintained.
  15. Handle travel bookings, process travel expense reports and coordinate accommodation, itineraries and related logistics.
  16. Ensure compliance with departmental policies and procedures: use independent judgement in applying guidelines and solving routine administrative issues.
  17. Support the preparation of drafts for budgets, monitor expenditures and coordinate with finance staff to align administrative operations with financial limits.
  18. Maintain calendars for multiple staff or departments, coordinate meeting rooms, track deadlines and ensure timely completion of tasks and deliverables.
  19. Serve as liaison between internal departments, external agencies and the public; respond to enquiries, provide information and escalate issues when necessary.
