Core Responsibilities

Primary Functions

  • Prepare, validate and issue official dispatch releases and flight plans in strict compliance with FAA regulations (FAR Part 121/135 where applicable), company operations manuals, and international regulatory requirements, ensuring legal dispatch of flights.
  • Conduct comprehensive pre-flight weather analysis including en route forecasts, terminal aerodrome forecasts (TAFs), PIREPs, SIGMETs, and convective outlooks to determine safe routings and fuel requirements.
  • Review and incorporate NOTAMs, temporary flight restrictions (TFRs), airspace closures, and airport operational notices into flight planning to mitigate airspace and aerodrome hazards.
  • Calculate fuel requirements and fuel reserves for each flight using company policy and regulatory minima, adjusting for en route alternates, expected delays, and adverse weather contingencies.
  • Perform weight and balance calculations for scheduled flights, verify aircraft load plans, and coordinate adjustments with load planners and ground handling to ensure aircraft remains within center-of-gravity and structural limits.
  • Monitor real-time flight progress (flight following) using ACARS, ADS-B, company systems, and ATC coordination, proactively identifying deviations and initiating corrective actions.
  • Coordinate with flight crew and captain, providing formal dispatch briefings, updates, and clearances regarding routing, weather, fuel, MEL/CDL restrictions, and any known operational constraints.
  • Manage irregular operations including diversions, ground stops, cancellations, and re-routes by coordinating resources, advising crews, and communicating with airport operations and customer service to minimize passenger impact.
  • Liaise with Air Traffic Control (ATC) facilities, international handling agents, and overflight authorities to secure operational clearances, slot times, and preferred routings when required.
  • Evaluate MEL/CDL implications on dispatchability, consult engineering and maintenance as needed, and issue conditional dispatch instructions consistent with dispatch release limitations.
  • Maintain accurate and auditable flight documentation including dispatch release records, flight logs, load manifests, and post-flight discrepancy reports for regulatory compliance and operational review.
  • Apply safety management system (SMS) principles by reporting hazards, conducting risk assessments for proposed routings or operational changes, and participating in continuous safety improvement efforts.
  • Implement fuel and cost optimization strategies while ensuring regulatory compliance and safety margins, balancing operational efficiency with performance and payload considerations.
  • Coordinate with crew scheduling to ensure qualified crew pairing, legal flight-crew duty/rest windows, and timely crew positioning in support of confirmed dispatch plans.
  • Provide operational support during emergencies, including aircraft incidents, security threats, or medical diversions, ensuring timely communication with SAR, dispatch centers, and emergency response teams.
  • Ensure compliance with international operations requirements including overflight permits, customs and immigration coordination, and special documentation needed for international dispatch.
  • Use flight planning and dispatch software (e.g., Lido/FlightPlan, Jeppesen FliteDeck, RocketRoute, Sabre, ARINC/ACARS) to produce compliant and optimized routings, fuel uplifts, and estimated times of arrival.
  • Analyze post-flight performance and telemetry, capture lessons learned, and recommend procedure changes or training needs to reduce recurrent issues and improve on-time performance.
  • Participate in daily operations briefings and shift handovers, providing concise situational awareness summaries and pending items to the oncoming dispatch team to ensure continuity of operations.
  • Train and mentor junior dispatchers and OCC personnel on company procedures, regulatory requirements, flight planning best practices, and emergency response protocols.
  • Communicate proactively with ground handling, de-icing teams, and ramp operations to mitigate departure delays and ensure aircraft readiness in adverse weather and high-utilization periods.
  • Maintain familiarity with aircraft performance charts and takeoff/landing calculations (including contaminated runway, high-altitude, and short-field procedures) to establish safe dispatch payloads.
  • Support fuel supplier coordination and uplift confirmations for multi-leg or remote-field operations to secure required fuel quantities on the ground and en route.
  • Conduct route risk assessments for polar, oceanic, and remote operations including ETOPS or extended-range planning requirements, and coordinate appropriate diversion plans and communications.
  • Update and review company operations manuals, dispatch procedures, and SOPs to reflect regulatory changes, industry best practices, and lessons from operational incidents.

Secondary Functions

  • Assist with regulatory audits and internal compliance reviews by compiling dispatch records, training logs, and operational data requested by auditors or safety teams.
  • Contribute to shift staffing plans and resource allocation recommendations based on historical traffic patterns, peak seasons, and irregular operations forecasts.
  • Support continuous improvement projects to streamline dispatch workflows, integrate new flight planning tools, or enhance dispatch-to-crew communications.
  • Participate in cross-functional working groups with maintenance, ground operations, and network planning to improve operational resilience and reduce delay propagation.
  • Provide input to airline contingency plans and crisis response playbooks, exercising scenario-based drills and tabletop simulations to validate decision-making.
  • Maintain and update quick-reference guides, checklists, and job aids for dispatchers, incorporating industry best practices and new procedural updates.

Required Skills & Competencies

Hard Skills (Technical)

  • FAA Aircraft Dispatcher certificate (or national equivalent) required; valid certifications and endorsements for the operating environment.

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or equivalent; FAA Aircraft Dispatcher certificate (or equivalent national license) required.
