Core Responsibilities
Primary Functions
- Lead end-to-end production of animation projects (series, features, shorts, and commercials), owning schedule, budget, scope, quality, and delivery milestones from greenlight through final delivery and archival.
- Build and maintain detailed, resource-level production schedules (sequence-, episode-, and shot-level) using industry tools and best practices to map creative milestones to technical tasks and vendor timelines.
- Create, manage, and forecast project budgets including labor, vendor, software/hardware, render costs, contingencies, and change orders; produce weekly/monthly burn reports and variance analysis for stakeholders.
- Allocate and balance artist and technical resources across sequences and episodes to maximize throughput, minimize bottlenecks, and protect critical path deliverables.
- Manage vendor selection, negotiation, onboarding, and performance (outsourcing animation, modeling, rigging, lighting, compositing, and delivery vendors), including statements of work (SOW), NDAs, and contractor agreements.
- Serve as the primary client-facing production contact for status updates, approvals, milestone reviews, and scope-change discussions; translate creative feedback into actionable production plans and timelines.
- Coordinate daily/weekly dailies and review sessions with directors, animation leads, and the creative team to track shot progress, provide notes, and enforce version control and review discipline.
- Implement and maintain production tracking systems (ShotGrid, ftrack, Asana, Jira) and pipelines for shot/asset tracking, approvals, versioning, and delivery packaging.
- Monitor technical pipeline health (asset pipeline, rigging, caching, rendering, compositing) and partner with Technical Directors and Pipeline Engineers to prioritize fixes and workflow improvements.
- Oversee render farm scheduling and deliverable encoding to ensure timely turnaround, cost-effective render usage, and adherence to delivery formats (broadcast, theatrical, streaming).
- Drive risk identification and mitigation plans: escalate schedule and budget risks early, propose contingency and recovery plans, and manage executive-level communications.
- Manage change control: document scope changes, update schedules/budgets, secure client/creative approvals, and process contract amendments and PO changes.
- Ensure quality control through systematic checks and acceptance criteria for animation, lighting, compositing, audio sync, color grading, and final QC packages prior to delivery.
- Coordinate post-production workflows (sound, music, color, mastering, closed captions/localization) and ensure integration of audio and picture deliverables per technical delivery specifications.
- Prepare production reports, KPI dashboards, and executive summaries that track shot counts, completion percentages, asset readiness, budget to actuals, and predicted delivery dates.
- Lead cross-functional production meetings including producers, leads, TDs, and vendors to align priorities, remove blockers, and confirm resource allocation.
- Manage personnel logistics: hiring and onboarding of production staff and contractors, creating crew schedules, authorizing overtime, and ensuring compliance with labor rules and studio policies.
- Mentor and coach assistant producers and production coordinators: set expectations, conduct performance reviews, and develop career progression plans within the production team.
- Maintain and archive production documentation, asset lists, version histories, and final delivery masters following studio archival standards and client retention policies.
- Ensure compliance with legal, licensing, and clearance processes (music, third-party assets, stock footage), coordinating with legal and rights management teams as needed.
- Optimize production processes through data-driven retrospectives, postmortems, and continuous-improvement initiatives that reduce cycle times and cost per shot.
- Oversee delivery acceptance and sign-off processes, ensuring all technical deliverables meet target formats and metadata requirements for distributors and platforms.
- Coordinate localization, language dubbing, and multiple output versions, including timed text and regional deliverables, maintaining trackable delivery schedules for each locale.
- Maintain vendor and supplier relationships for software licenses, render capacity, and cloud services; negotiate favorable terms and ensure SLAs are met.
- Prepare estimates and participate in pre-production budgeting, resource modeling, and pitching activities; provide accurate capacity and cost modeling to business development teams.
