Core Responsibilities

Primary Functions

  • Lead all day-to-day on-site property operations for the apartment community, ensuring safe, clean, well-maintained common areas and units while prioritizing resident satisfaction and regulatory compliance.
  • Drive leasing activity by creating and executing targeted marketing campaigns, maintaining accurate online listings, conducting property tours, qualifying prospects, and closing lease agreements to maximize occupancy and revenue.
  • Oversee rent roll management: prepare leases, process move-ins/move-outs, collect monthly rent and fees, reconcile payments, manage late fees and delinquencies, and maintain accurate tenant ledgers.
  • Perform comprehensive resident screening including credit checks, criminal background checks, employment and rental history verification in accordance with Fair Housing laws and company policies.
  • Develop and manage annual and monthly operating budgets, track actuals versus forecast, control operating expenses, and recommend cost-saving measures to improve Net Operating Income (NOI).
  • Supervise, train, schedule, and evaluate on-site staff such as leasing consultants, maintenance technicians, administrative personnel, and contract service providers; set performance goals and conduct coaching.
  • Plan and coordinate preventative maintenance programs and unit turns to reduce downtime, extend asset life, and control capital expenditures; oversee maintenance ticketing systems and vendor schedules.
  • Manage vendor relationships: solicit bids, negotiate contracts, monitor performance, ensure timely invoicing and adherence to service-level agreements for landscaping, janitorial, HVAC, pool, and elevator services.
  • Conduct regular property inspections (unit, curb-to-curb, turnover walk-throughs) to monitor property condition, ensure compliance with standards, and identify capital needs or safety hazards.
  • Execute effective resident retention strategies including lease renewals, resident events, prompt service responses, and proactive communication to reduce turnover and vacancy loss.
  • Prepare, analyze, and submit timely financial and operational reports to owners and regional management—monthly P&L, occupancy and leasing reports, maintenance logs, budget variance analysis, and capital request summaries.
  • Administer lease enforcement and community rules: process violation notices, mediate resident disputes, coordinate legal eviction processes when required, and document all actions with attention to legal compliance.
  • Lead emergency response for urgent property issues (fires, floods, gas leaks); coordinate with emergency services, manage resident communications, and document incidents thoroughly for owners and insurers.
  • Manage unit turnover process including scheduling contractors, coordinating cleaning and inspections, enforcing cosmetic and repair standards, and preparing units for marketing and re-leasing to minimize vacant days.
  • Oversee on-site receivables and payables: process vendor invoices, maintain petty cash and security deposit accounting, facilitate bill payments and coordinate with corporate accounting for month-end close.
  • Implement and maintain safety, security, and regulatory programs: enforce local landlord-tenant law requirements, fire and life-safety inspections, accessibility compliance, and health & safety protocols.
  • Drive digital and community marketing: maintain property website and social media presence, coordinate digital advertising budgets, manage Resident Portal activities and reputation management to attract qualified renters.
  • Coordinate capital improvement and renovation projects: scope work, manage contractor selection, supervise project timelines and quality, and track budgets and owner approvals for upgrades and major repairs.
  • Maintain inventory control for maintenance and turnover supplies, order parts and materials, and monitor usage to manage cost and ensure timely maintenance completion.
  • Use property management software (e.g., Yardi, AppFolio, RealPage) to manage leases, accounting, work orders, KPI dashboards, and resident communications; leverage data to improve operational decisions.
  • Establish and monitor KPIs such as occupancy rate, rent collection rate, average days to turn, renewal rate, maintenance response time, and revenue per available unit (RevPAU) to drive continuous improvement.
  • Facilitate resident move-in orientation: review lease terms, amenities, utilities setup, community policies, and ensure a positive first impression to encourage long-term tenancy.
  • Ensure consistent enforcement of pet policies, parking regulations, noise and nuisance policies, and community standards to maintain a respectful resident environment.
  • Maintain accurate, confidential resident files and ensure records retention policies are followed for leases, renewals, work orders, incident reports, and legal documentation.

Secondary Functions

  • Participate in local networking and community outreach to build referral sources and local partnerships that support leasing and resident services.
  • Support corporate initiatives such as sustainability programs, resident engagement campaigns, and technology roll-outs to improve operational efficiency.
  • Assist with annual property insurance renewals and claims coordination, working with brokers and adjusters as needed.
  • Provide backup support for adjacent properties in a portfolio during regional coverage gaps or special projects.
  • Develop and deliver resident education materials and programs (e.g., safety, recycling, energy conservation) to improve community living and reduce operating costs.
  • Support audit preparation for property audits, tax assessments, and compliance reviews, ensuring documentation and systems are audit-ready.
  • Assist in compiling capital expenditure justifications and ROI analyses for owner approval on larger improvement projects.
  • Coach and mentor junior staff to develop the next generation of property management professionals and improve team capabilities.
  • Participate in corporate training and certification programs (NAA, IREM, CAM, or local certifications) to maintain professional standards and compliance.
  • Maintain a visible leadership presence in the community to proactively address resident concerns and spot operational improvement opportunities.

Education & Experience

Educational Background

Minimum Education:
High school diploma or equivalent (GED).

Preferred Education:
Associate degree or Bachelor's degree in Business Administration, Real Estate, Hospitality Management, Facilities Management, or related field.

Experience Requirements

Typical Experience Range:
2–5 years of progressive onsite residential property or apartment community management experience.

3–7 years managing multifamily properties (garden, mid-rise, or high-rise) with demonstrated success in leasing, budgeting, maintenance oversight, resident retention, and use of major property management platforms. Certifications such as CAM (Certified Apartment Manager), NAA Education, IREM, or similar are a plus.
