Core Responsibilities

Primary Functions

  • Oversee day-to-day gallery and exhibition operations, coordinating timelines, resources, and cross-functional tasks to ensure installations open on schedule and programs run smoothly, including liaising with curators, artists, fabricators, and venues.
  • Manage incoming and outgoing loans, including preparing and processing loan agreements, condition reports, customs and export documentation, insurance valuations, and coordinating couriers and shippers for domestic and international movement.
  • Maintain and audit collection and inventory records using collections management systems (e.g., TMS, CollectionSpace), performing regular inventories, accessioning and deaccessioning tasks, and updating provenance and object histories.
  • Draft, negotiate, and administer contracts and agreements for artists, contractors, vendors, and consultants; ensure timely issuance of purchase orders, letters of agreement, and artist fees, and manage contract compliance and record keeping.
  • Produce detailed condition reports and photographic documentation for works on loan, on exhibition and in storage, liaising with conservators when treatment or environmental monitoring is required.
  • Coordinate exhibition fit-out and installation logistics: schedule installation crews, supervise art handling practices, oversee rigging and mounting, arrange specialized equipment, and enforce health & safety and insurance protocols.
  • Prepare and manage exhibition, program, and departmental budgets: track expenditures, reconcile invoices, process payments, prepare monthly financial reports, and work with finance to forecast and control costs.
  • Lead or support grant applications and reporting obligations: prepare narratives, budgets and supporting documentation for public and private funders and ensure timely submission of grant reports and compliance with funder requirements.
  • Serve as artist liaison: manage artist communications, handle scheduling for deliveries and site visits, facilitate payments and expense reimbursements, and provide clear timelines and technical specifications for installations and performances.
  • Coordinate shipping logistics and customs clearance for international loans including negotiating shipping quotes, booking freight forwarders, preparing export/import paperwork, and working with customs brokers to avoid delays and additional costs.
  • Maintain climate-controlled storage and monitor environmental conditions (temperature, humidity, pest control); implement and document preventive conservation measures and storage best practices.
  • Supervise and train front-of-house staff, volunteers, and temporary exhibition crews on visitor services, access policies, ticketing systems, and emergency procedures to ensure a welcoming, safe visitor experience.
  • Oversee point-of-sale and retail operations (if applicable): inventory merchandise, reconcile sales, coordinate with retail vendors, and integrate retail reporting with overall financial systems.
  • Coordinate and produce interpretive materials and exhibition collateral, including wall texts, labels, signage, loan lists, catalogues, and digital content in coordination with curators and designers.
  • Act as primary point of contact for insurance carriers: prepare valuation documentation, notify insurers of loans, coordinate claims and appraisals, and maintain up-to-date insurance schedules for exhibitions and collections.
  • Administer artist and lender payments, honoraria, and royalties: process invoices, issue payments, and maintain accurate financial records in alignment with organizational policies and timelines.
  • Plan and execute public programs, openings, and fundraising events: manage logistics, staffing, catering, invitations, accessibility accommodations, and post-event reconciliation.
  • Maintain archival records for exhibitions and institutional history, ensuring documentation (press, installation images, receipts, correspondence) is organized, digitized, and accessible for reference and reporting.
  • Implement and update collections and exhibitions policies and procedures, ensuring compliance with legal, ethical, and accreditation standards (handling, conservation, repatriation, accessibility).
  • Coordinate vendor relationships and procurements for framing, crating, transport, fabrication, and technical services, negotiating terms and ensuring service level agreements meet museum/gallery standards.
  • Prepare regular reports and briefings for senior management and boards: exhibition status, budget variance reports, loan activity, conservation needs, and risk assessments to inform decision-making.
  • Support digital initiatives: maintain online collections records, assist with virtual exhibition content, upload high-resolution imagery and metadata, and work with marketing staff on SEO and web-ready descriptions.
