Core Responsibilities

Primary Functions

  • Assist in the creation, maintenance and communication of production schedules and milestone trackers (Gantt charts, Kanban boards, sprint backlogs), ensuring all stakeholders have accurate, up-to-date timelines.
  • Coordinate daily production activities by monitoring task progress, following up with artists, engineers, writers, and external vendors to unblock work and keep deliverables on schedule.

  • Support sprint planning and backlog grooming by preparing status reports, compiling dependencies, and documenting acceptance criteria for upcoming work.
  • Maintain and update production trackers and dashboards (Jira, Asana, Trello, Confluence, Google Sheets, ShotGrid), generate status reports and KPIs for producers and stakeholders.
  • Assist with build management and release coordination by preparing build notes, verifying build content against acceptance criteria, scheduling smoke tests, and coordinating roll-outs.
  • Facilitate QA and playtest cycles: schedule sessions, write/triage bug reports, reproduce issues, and coordinate fixes with development teams.
  • Support budget tracking and invoice processing: log expenses, track vendor invoices, reconcile small line items, and escalate budget variances to producers.
  • Coordinate localization workflows: prepare strings/assets for localization, liaise with localization vendors, track translations, and verify localized builds or edits.
  • Manage vendor and freelance relationships: issue briefs, track deliverables, handle approvals, and ensure contract milestones are met.

  • Manage content pipelines and tooling requests: coordinate with engineering on small tooling tickets, document recurring manual tasks, and propose process automation opportunities.
  • Support compliance and certification processes (platform submission, broadcast standards, ratings board submissions) by compiling required deliverables and meeting submission windows.
  • Conduct retrospectives and continuous improvement initiatives by collecting feedback from production teams and proposing process changes, templates, or automation.
  • Maintain and enforce production standards and naming/asset hygiene to reduce friction across editorial, art, and engineering teams.
  • Provide day-to-day administrative support to producers: schedule meetings, manage calendars, organize dailies/reviews, and prepare logistical details for remote or in-studio sessions.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor’s degree OR equivalent practical experience in production, media, games, film, communications, project management, or a related field.

Preferred Education:

  • Bachelor’s degree in Film/TV Production, Game Design, Media Studies, Communications, Business, or Project Management; certificates in Agile/Scrum or PMP/PRINCE2 are a plus.
