Core Responsibilities

Primary Functions

  1. Process and prepare vehicle title transfer paperwork accurately for retail sales, trade-ins, dealer transfers, lease buyouts, and wholesale transactions, ensuring all owner and lienholder information is correct before submission.
  2. Submit title and registration documents electronically or by paper to state DMVs and third-party title services using eTitle platforms (Dealertrack, CDK, DealerSocket, or state portals) and follow up until titles are received.
  3. Verify vehicle identification numbers (VINs), odometer readings, vehicle descriptions, and owner signatures to prevent errors that could delay titling or create compliance risks.
  4. Manage lienholder communications: prepare and record lien filings, obtain and process lien releases, coordinate payoff letters, and ensure lienholder information matches lender documentation.
  5. Research and resolve title discrepancies such as incorrect names, missing signatures, duplicate titles, salvage/rebuilt designations, out-of-state titles, and branding issues by liaising with DMVs, lienholders, and customers.
  6. Order and process duplicate titles, bonded titles, and replacement titles for lost or damaged documents, ensuring all state-specific affidavit and notarization requirements are satisfied.
  7. Prepare and issue temporary registrations, tags, and plates for vehicle deliveries and ensure vehicle delivery compliance with state laws and dealership policies.
  8. Maintain secure, organized physical and electronic title inventories and logs, tracking the status of every title from purchase to final issuance, and ensuring chain-of-custody for sensitive documents.
  9. Reconcile daily, weekly, and monthly title and registration activity reports, including title fees, tax withholdings, and third-party title service invoices, and coordinate with accounting for accurate billing.
  10. Coordinate with Sales, F&I, Finance, and Service departments to gather required documents (purchase agreements, power of attorney, proof of insurance) and clearholds prior to title submission.
  11. Prepare and file odometer disclosure statements, power of attorney forms, bills of sale, and other supporting documents required for titling and registration purposes.
  12. Ensure dealership compliance with state and federal motor vehicle statutes, including lien perfection procedures, salvage titling rules, and consumer protection regulations.
  13. Communicate proactively with customers, lenders, and internal stakeholders on title status, anticipated timelines, and any outstanding documentation needed to finalize titling and registration.
  14. Perform periodic audits of title files and title logs to identify missing signatures, expired documents, or process breakdowns; implement corrective actions to reduce rework.
  15. Coordinate third-party title services, courier pickups, and state filings, monitoring turnaround times and escalating stalled transactions to managers or DMV contacts as needed.
  16. Manage special title processes such as salvage or rebuilt titles, manufacturer buybacks, emissions waivers, and lien satisfactions that require additional documentation and state-specific steps.
  17. Maintain up-to-date knowledge of state DMV rules and e-filing system changes, and apply those changes to title processing workflows and staff training.
  18. Prepare reports and metrics on title department performance (turnaround times, error rates, outstanding titles) for management review and continuous process improvement.
  19. Train and mentor junior title clerks and cross-train dealership staff on basic titling practices, proper document handling, and secure storage of certificates of title.
  20. Facilitate audits and regulatory inquiries by preparing requested title documentation, reconciliation records, and process documentation for internal or external reviewers.
  21. Handle cancellations, voids, recalls or corrections to titles and registrations promptly, coordinating with DMV and internal departments to amend records.
  22. Support multi-state titling operations by understanding varying state requirements, coordinating interstate shipments, and ensuring tax and registration accuracy across jurisdictions.

Secondary Functions

Required Skills & Competencies

Hard Skills (Technical)

  • Solid knowledge of state and multi-state DMV titling and registration laws, procedures, and documentation requirements.
