A Backup Administrator is responsible for designing, implementing, operating, and continuously improving an organization's data protection and backup ecosystem to meet recovery time objectives (RTOs), recovery point objectives (RPOs) and compliance requirements. The role owns backup strategy across on-premises, virtualized, and cloud platforms, manages backup software and hardware (tape, disk, snapshot, object storage), leads disaster recovery testing and runbook development, automates routine operations, and partners with application, database and infrastructure teams to ensure reliable and secure recoverability of business-critical data.

Core Responsibilities

Primary Functions

  • Design and implement enterprise backup and recovery strategies across hybrid environments (on‑premises, VMware, Hyper‑V, public cloud such as AWS and Azure) to meet defined RTOs and RPOs, recommending the right mix of snapshots, disk-based backup, tape, and cloud object storage for cost-effective data protection.
  • Administer, configure, patch and upgrade backup software and appliances including Veeam Backup & Replication, Veritas NetBackup, Commvault, IBM Spectrum Protect, Rubrik, and native cloud backup services (AWS Backup, Azure Backup, Google Cloud Backup).
  • Create, manage and optimize backup schedules, retention policies, synthetic/full/incremental backup strategies, and deduplication settings to minimize backup windows while ensuring recoverability and regulatory retention requirements are met.
  • Monitor backup jobs and SLAs daily using native backup consoles, centralized monitoring tools (Nagios, SolarWinds, Zabbix) and automated alerts; rapidly investigate and remediate backup failures, performance bottlenecks, and storage capacity issues.
  • Execute and validate restores of files, application-consistent VM images, databases and mail systems — from single-item restores to full site recovery — ensuring documented, repeatable procedures and verifying data integrity after each restore.
  • Lead, plan and execute formal disaster recovery (DR) tests and tabletop exercises with business owners and cross-functional teams, maintain DR runbooks, update playbooks after exercises, and present DR test outcomes and improvements to stakeholders.
  • Implement and manage backup encryption, access controls, immutable backups, multifactor authentication for backup consoles, and secure transport to meet security and compliance standards (GDPR, HIPAA, SOX, PCI).
  • Manage backup storage lifecycle and capacity: provision and manage backup repositories, tape libraries, cloud object buckets, retention tiers, replication destinations and archive policies, performing ongoing capacity planning and cost optimization.
  • Integrate and maintain application-consistent backup processes for databases (Oracle RMAN, Microsoft SQL Server backups, MySQL/Postgres), Exchange/Office 365, SharePoint, and enterprise applications to ensure transactional consistency and point-in-time recovery.
  • Automate routine backup administration tasks and reporting using PowerShell, Python, Bash or REST APIs, building self-service restore portals or workflows for application teams and reducing mean-time-to-recovery (MTTR).
  • Configure and maintain replication and disaster recovery replication workflows (array-based replication, backup replication, Veeam replication, Rubrik Live Mounts) to support fast failover and business continuity.
  • Troubleshoot complex backup issues across the stack — network bottlenecks, storage misconfigurations, virtualization layer conflicts, application-level errors — and coordinate remediation with networking, storage, virtualization and application teams.
  • Maintain comprehensive backup documentation, runbooks, SOPs, SLA reports and change logs; ensure all backup procedures are version-controlled and accessible for audits and operational continuity.
  • Implement monitoring, capacity forecasting and trend analysis for backup performance, data growth metrics, deduplication savings and restore success rates; present weekly/monthly reports to IT leadership and business owners.
  • Manage vendor relationships, software licensing, Maintenance & Support Agreements for backup tools and devices, coordinate vendor escalations for complex incidents and ensure patching and support windows align with maintenance policies.
  • Configure and validate backup for virtualized environments (VMware vSphere, Microsoft Hyper-V): ensure agentless backups where appropriate, manage CBT/incremental change tracking, and tune snapshots to minimize VM downtime.
  • Enforce backup-related change control and maintenance windows: schedule and coordinate firmware and software upgrades for backup appliances, storage arrays and tape libraries with minimal business impact.
  • Implement and support tape-based workflows where required: manage tape rotation, offsite vaulting, barcode systems, tape encryption, and integrity checks for long-term archiving and legal holds.
  • Participate in incident response and post-incident reviews for data loss or backup-related outages; identify root causes, implement corrective actions, and track improvement items to closure.
  • Ensure backups are discoverable and retrievable for legal discovery, audit, and compliance requests; maintain retention schedules, legal hold processes and chain-of-custody documentation where applicable.
  • Design and implement backup strategies for cloud-native workloads, including snapshot policies for cloud VMs, backups for managed databases and containers, cross-region replication, lifecycle policies and cost-optimized long-term retention.
  • Collaborate with application and database owners to perform recovery readiness reviews, document dependencies, and establish agreed acceptance criteria and procedural steps for production restores and failovers.
  • Evaluate and pilot new backup technologies (SaaS backup, immutability, ransomware-resistant solutions, immutability on cloud object stores) and provide recommendations for tooling upgrades and roadmap improvements.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's degree in Computer Science, Information Technology, Management Information Systems, or equivalent practical experience in systems/infrastructure administration.

Preferred Education:

  • Bachelor's degree plus professional certifications such as Veeam Certified Engineer (VMCE), Veritas Certified Specialist, Commvault Certified Engineer, Rubrik Certified Associate, AWS Certified SysOps/Cloud Practitioner, Microsoft Certified: Azure Administrator, or relevant security certifications (CompTIA Security+, CISSP).
