Core Responsibilities

Primary Functions

  • Design and conceptualize custom balloon décor and sculptures (arches, garlands, centerpieces, columns, backdrops, themed sculptures) based on client briefs, venue constraints, event themes, and brand guidelines, delivering polished digital or hand-drawn mockups when required.
  • Build, assemble, and install balloon installations on-site, ensuring structural integrity, proper anchoring/rigging, and aesthetic accuracy while adapting to venue limitations (indoors/outdoors, ceiling heights, access points).
  • Twist and sculpt balloons into characters, animals, hats, and interactive figures for walk-around entertainment and photo activations, maintaining speed and consistency for high-volume family events and trade shows.
  • Inflate and manage latex and foil balloons using pumps and helium systems safely, including calibrating regulators, monitoring gas usage, and securing loose lines to prevent leaks or hazards.
  • Construct balloon garlands and seamless organic balloon columns using advanced techniques (multiple sizes, filler balloons, tape/string techniques) that achieve professional, organic looks on scale for weddings and corporate events.
  • Create and execute large-scale balloon installations and experiential displays for corporate activations, retail launches, and festivals, coordinating logistics for transport, staging, and rapid teardown.
  • Prepare detailed event quotes, itemized invoices, and project proposals, incorporating material costs, labor time, travel, and installation complexity to ensure profitability and clear client expectations.
  • Provide client consultations and pre-event site surveys (virtual or in-person) to measure spaces, identify anchor points, review venue policies, and troubleshoot potential installation challenges.
  • Coordinate with event planners, venue managers, production crews, florists, and DJs to integrate balloon elements into broader event timelines, load-in schedules, and safety plans.
  • Manage inventory of balloons, accessories, pumps, helium tanks, backdrops, and rigging hardware; reorder supplies proactively and maintain cost-effective stock levels.
  • Maintain and operate helium tanks and inflation equipment according to safety protocols, including leak checks, secure storage, proper labeling, and DOT/OSHA guidance where applicable.
  • Perform quality control checks after installation to ensure balloons meet presentation standards throughout the event (temperature sensitivity, sun exposure management, and re-tethering as needed).
  • Train and supervise junior balloon artists, seasonal staff, or vendor partners in construction techniques, safety procedures, customer service standards, and installation quality control.
  • Capture high-quality photos and short-form videos of completed installations for portfolio, marketing, and social media sharing; edit images for consistent branding and client approvals.
  • Offer on-site repair and refresh services during events to maintain visual integrity of displays and respond immediately to accidental punctures, deflations, or wind damage.
  • Upsell additional décor items and services (table centerpieces, signage, LED lighting, confetti, balloon weights) during consultations and at the point-of-sale to increase average order value.
  • Develop standardized build sheets, templates, and color palettes to streamline production, ensure reproducibility across teams, and speed training for new hires.
  • Follow all health, safety, and venue-specific regulations including ladder and scaffold use, electrical safety for lighted balloons, and secure rigging methods for elevated installations.
  • Deliver and pick up rental frames, stands, and reusable hardware on schedule, logging equipment condition and coordinating maintenance or replacements when necessary.
  • Manage booking calendar, travel logistics, and multilocation installs for single-day events with tight turnarounds; estimate and allocate crew sizes and drive times to meet deadlines.
  • Maintain professionalism with clients at all touchpoints: proposal, planning calls, on-site interactions, and post-event follow-up; solicit and incorporate feedback to improve processes.
  • Create educational content and lead workshops or in-store classes teaching basic twisting, garland-building, and party styling to consumers and corporate clients.

Secondary Functions

  • Respond to ad-hoc client requests for last-minute installations, emergency repairs, or same-day service calls with rapid assessment and triage.
  • Assist marketing and sales teams by writing product descriptions, preparing case studies, and contributing to seasonal promotional campaigns.
  • Contribute to the company’s product development by testing new balloon materials, biodegradable options, and specialty finishes (metallics, confetti-filled, textured balloons).
  • Maintain incident and maintenance logs for helium tanks, ladders, and rigging equipment; schedule periodic safety audits and CRE compliance checks.
  • Cross-train in related service areas such as floral foam setup, prop assembly, and simple lighting to provide comprehensive event décor packages.
  • Support store operations during peak retail hours, including point-of-sale transactions, phone/email inquiries, and walk-in consultations.
  • Help develop pricing strategies based on material cost trends, seasonal demand, and competitor benchmarking to preserve margins while remaining competitive.
  • Participate in community outreach and local event sponsorships to showcase balloon artistry and generate new client leads.
