Core Responsibilities

Primary Functions

  • Conduct comprehensive vehicle damage appraisals and inspections, documenting structural, mechanical, and cosmetic damage with high-quality photos and narrative notes to support estimates and supplements.

  • Evaluate total loss indicators and prepare fair market value analyses and total-loss recommendations in accordance with state regulations and insurer guidelines.
  • Initiate and manage supplement requests by identifying hidden damage during disassembly, documenting root cause, and communicating changes to carrier adjusters and shop management in a timely manner.
  • Communicate clearly and professionally with customers, providing walk-throughs of estimates, explaining repair methodologies, timelines, and warranty coverage while managing expectations and reducing disputes.
  • Collaborate with technicians and shop management to verify repair plans, validate labor operations, confirm required OE parts, and ensure the feasibility of repair procedures prior to repair authorization.
  • Negotiate repair approvals and settlement details with insurance adjusters and third-party administrators to secure timely authorizations while protecting shop margins and maintaining compliance.
  • Perform parts research and ordering: verify OEM vs aftermarket part suitability, confirm part numbers and lead times, and coordinate with parts vendors and supplier networks to minimize cycle time.
  • Maintain accurate recordkeeping of estimates, supplements, electronic claim submissions, approvals, and correspondence to support audits, reconciliation, and legal/regulatory requirements.
  • Audit and review completed estimates for accuracy, completeness, and adherence to company pricing matrix and labor guides, providing corrective feedback and rework prevention recommendations.
  • Monitor cycle time, key performance indicators (KPIs), and estimate-to-repair conversion rates; collaborate with leadership to implement process improvements that reduce repair days and increase throughput.
  • Provide technical support on complex claims such as structural repairs, advanced driver assistance systems (ADAS) calibrations, aluminum or high-strength steel repair strategies, and multi-system collision impacts.
  • Use digital photography and mobile estimating tools to create remote appraisals when required, ensuring photos, measurements, and documentation meet insurer and internal quality standards.
  • Prepare and present repair estimates, supplemental documentation, and technical justification to insurance companies, loss appraisers, and customers in person or via electronic claim platforms.
  • Maintain up-to-date knowledge on industry reforms, state insurance regulations, OEM updates, and emerging repair technologies, incorporating changes into estimating habits and internal training.
  • Train and mentor junior estimators and service advisors on best practices for estimating, photo documentation, insurance communication, and software utilization to raise overall team competency.
  • Support warranty and rework analysis by reviewing completed repairs, identifying discrepancies between estimates and actual repair procedures, and recommending process or estimate adjustments.
  • Coordinate with detail, paint, and quality control teams to schedule repairs, track completion status, and perform post-repair inspections to confirm alignment with the original estimate and customer satisfaction.
  • Participate in commercial and fleet account estimating, preparing cost projections, turnaround commitments, and value-added services tailored to business-to-business relationships.
  • Ensure safety compliance and environmental controls are considered in estimates (e.g., refrigerant handling, hazardous materials disposal, and paint booth usage) and that shop operations follow regulatory requirements.
  • Maintain pricing integrity by updating labor rates, material costs, and sublet vendor pricing in the estimating system as approved by management to ensure margin preservation.
  • Lead or participate in periodic estimate audits by carriers or internal quality teams, preparing supporting documentation and implementing remediation plans as needed.
  • Provide technical consulting during vehicle intake for high-value or specialty vehicles (luxury, EV, hybrid, aluminum-intensive) to determine appropriate repair facilities, tooling needs, and supplier contacts.

Secondary Functions

  • Assist sales and customer relations teams with complex repair quotes, timeline commitments, and escalation resolution to maintain high Net Promoter Score (NPS) and return-customer rates.
  • Support the shop’s digital transformation initiatives by testing and providing feedback on new estimating software, photo capture workflows, and customer communication tools.
  • Participate in vendor and insurer meetings to negotiate parts pricing agreements, strategic partnerships, and process SLAs that reduce cycle time and cost.
  • Help compile monthly estimating reports for leadership that highlight trends in supplement frequency, average repair cost, parts lead times, and adjuster approval rates.
  • Serve as a subject matter expert for warranty claims and aftermarket disputes, helping to produce documentation required for supplier or insurer appeals.
  • Provide occasional administrative support for insurer portals, e-signature systems, and remote appraisal setups during peak workload periods.

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or GED required.
