- Create detailed initial estimates using industry-standard platforms (CCC One, Mitchell, Audatex), including labor operations, parts, paint, refinish, and supplemental repairs.
- Decode VINs, run parts lookups and cross-references, and source OEM and aftermarket parts to build correct parts lists for each repair order.
- Accurately measure panels, gaps, and structural damage; use frame measuring and scanning systems under supervision to determine alignment and straightening labor.
- Follow OEM repair procedures and service bulletins to identify required procedures, adhesives, and structural repair sequences relevant to the estimate.
- Capture high-quality, standardized photos and notes that meet insurer and internal quality assurance requirements to support the estimate and supplemental requests.
- Assist in communicating estimate rationale and repair plans to customers and insurance adjusters, clarifying scope, materials, and required procedures.
- Track and process insurance supplements by documenting new damage discovered during disassembly and coordinating supplemental estimates with adjusters.
- Verify coverages and deductible information with insurers and customers; notify service advisors and shop management of any coverage issues that may affect repair authorization.
- Prepare and present estimate packages to insurers, including photos, OEM procedures, and repair timelines needed for claim acceptance and prompt repair authorization.
- Maintain accurate labor times and paint calculations using paint mix databases and shop-specific refinish formulas to ensure correct material and labor allocation.
- Assist technicians and foremen by clarifying estimate items, parts locations, and repair sequences to reduce cycle time and prevent rework.
- Keep estimator logs, estimate histories, and parts orders up to date in the shop management system to support shop scheduling and parts procurement.
- Participate in quality control checks on completed repairs to ensure work aligns with the original estimate and meet safety and aesthetic standards before vehicle delivery.
- Learn and apply shop safety protocols, hazardous materials handling, and environmental compliance related to refinish and repair work.
- Monitor parts lead times and follow up on delayed orders; recommend alternatives when OEM parts are unavailable, documenting any impact on cost and schedule.
- Assist in cost-control efforts by researching alternative repair methods, reusability of parts, and legitimate aftermarket solutions while maintaining OEM safety standards.
- Maintain up-to-date knowledge of industry pricing changes, labor guides, and insurer policy updates that affect estimate accuracy and profitability.
- Attend estimator training sessions, vendor/insurance meetings, and OEM technical briefings to continually build knowledge and estimating accuracy.
- Record and analyze estimate discrepancies and supplement trends to identify process improvements that reduce cycle time and increase first-time-right estimates.
- Provide courteous, professional customer service on the shop floor and by phone, explaining estimate items and expected repair timelines in clear, non-technical language.
- Support the front office by preparing documentation for vehicle delivery, warranty forms, and post-repair customer follow-up as part of the estimating lifecycle.
- Maintain confidentiality and accuracy of customer and claim information, ensuring compliance with company policies and data privacy regulations.
Secondary Functions
- Support senior estimators with audit-ready documentation and participate in regular file audits to maintain insurer and internal compliance.
- Assist management with KPI tracking: cycle time, estimate accuracy, supplement rate, and parts fill rate; provide observations that inform process improvements.
- Help maintain the estimating database and photo libraries for consistent standardization across the collision center.
- Participate in continuous improvement initiatives to streamline estimate-to-repair workflows and reduce back-and-forth with insurance carriers.
