- Implement and enforce shop-level Standard Operating Procedures (SOPs) for disassembly, damage analysis, repair planning, welding, frame alignment, paint preparation and refinishing to guarantee consistent quality and warranty-reduced comebacks.
- Monitor, analyze and improve key performance indicators (KPIs) including cycle time, key performance hours (KPH), gross profit per repair order, labor-hour utilization and customer satisfaction scores.
- Control parts procurement, inventory levels and parts returns by negotiating with OEM dealers and aftermarket suppliers, optimizing bin stocking, and minimizing backorders and order-to-receive cycle times.
- Ensure all structural repairs, welds and calibrations follow OEM collision repair procedures and that necessary post-repair calibrations for ADAS systems are completed and documented.
- Prioritize and schedule repair jobs effectively, balancing DRP appointments, retail work and complex structural repairs to meet delivery promises and reduce cycle time.
- Verify technician certifications (I-CAR, ASE) are current, coordinate required training and facilitate manufacturer- or OEM-sponsored repair training and certification programs.
- Maintain and schedule preventive maintenance and calibration of shop equipment, including paint booths, mixing systems, frame machines and measuring systems to ensure consistent repair quality.
- Oversee paint and refinish operations, including paint mixing accuracy, color matching processes, booth procedures and environmental controls to minimize rework and ensure finish quality.
- Manage warranty claims and comeback investigations: lead root cause analysis, implement corrective actions, document findings and communicate outcomes to customers and insurers.
- Coordinate directly with insurance claim representatives and DRP contacts to negotiate authorizations, supplement approvals and repair scope while protecting shop profitability.
- Enforce shop safety and environmental compliance with local, state and federal regulations including EPA, OSHA and local hazardous waste handling; maintain MSDS records and training logs.
- Prepare and manage the shop budget, forecast labor and parts spend, track monthly P&L metrics, and implement cost-control measures to improve margins and reduce waste.
- Lead customer-facing communication for complex repairs or escalations, provide transparent status updates, manage expectations and support a high Net Promoter Score (NPS).
- Evaluate and approve sublet vendor work (glass, upholstery, specialty components), ensuring cost-effectiveness, quality standards and timely return of sublet items.
- Implement continuous improvement initiatives: 5S/lean shop organization, workflow redesign, technician productivity programs and quality checkpoints that reduce cycle time and increase throughput.
- Ensure accurate shop documentation and repair records, including photos, repair plans, parts used, labor codes, calibrations, and final quality checklists for audit readiness and insurer compliance.
- Recruit, hire and onboard new shop personnel; design career paths and retention strategies for high-performing technicians and estimators.
- Lead shop marketing and community outreach initiatives to generate retail repair business, cultivate fleet/accounts and strengthen relationships with insurance partners.
- Maintain accurate daily production reports, monitor work-in-progress (WIP) aging, and take corrective actions for stalled jobs or bottlenecks.
- Establish and enforce shop policies for customer vehicles, keys, rental coordination, and final delivery inspections to drive customer satisfaction and reduce liability.
- Collaborate with dealership fixed-ops or corporate operations to align body shop goals with overall business objectives and share best practices across locations.
Secondary Functions
- Support documentation and reporting for audits, insurer reviews and OEM program compliance.
- Assist with recruitment events, technician training camps and local college or trade-school partnerships to build a pipeline of talent.
- Participate in monthly operational meetings with sales, service, parts and finance to coordinate customer handoffs and recovery schedules.
- Implement digital processes for repair photos, electronic approvals and customer communication platforms (email/SMS) to streamline operations and improve transparency.
