Core Responsibilities

Primary Functions

  • Produce complete interior layouts for trade, educational, academic, and illustrated books, applying consistent typographic hierarchy, page grids, widows/orphans control, and professional pagination for both fixed-layout and reflowable formats.
  • Design and iterate book covers from concept through final artwork, coordinating with authors and marketing teams to align cover messaging, typography, and imagery with market positioning and metadata.
  • Execute advanced typesetting tasks including multi-language support, hyphenation control, custom ligatures, non-Latin scripts, small caps, and complex table and figure layout in InDesign or QuarkXPress to ensure typographic excellence.
  • Create and maintain master templates, paragraph and character styles, object styles, and nested style systems to scale design workflows across multi-book series and imprints while ensuring brand consistency.
  • Prepare final print-ready files (PDF/X-1a, PDF/X-4 or publisher-specified standards), embed fonts, flatten transparencies when required, set correct bleeds/trim/safety, and validate across preflight tools to meet printer specifications.
  • Convert and validate books for multiple digital formats (EPUB fixed and reflowable, Kindle/Mobi/AZW3, PDF) including HTML/CSS cleanup, image optimization, media queries, and table handling to guarantee cross-device compatibility.
  • Liaise directly with offset and print-on-demand vendors to confirm paper stock, binding options, color proofs (swatch negotiation), and press tolerances, and attend press checks when required to ensure production fidelity.
  • Retouch, resize, and prepare images and illustrations for print and digital delivery using Photoshop and Illustrator, managing resolution, color profiles (CMYK/RGB), ICC conversions, and transparency handling for high-quality reproduction.
  • Collaborate with editorial teams to apply style guides to front matter, footnotes, indexes, and cross-references, ensuring legal pages, ISBN placement, and metadata are correctly typeset and consistently formatted.
  • Implement accessibility best practices for ebooks (semantic markup, alt text, logical reading order), tagging PDFs for screen readers, and ensuring compatibility with assistive technologies to expand readership and meet accessibility standards.
  • Maintain version control, file naming conventions, and an organized asset library for typography, covers, master templates, and images to streamline handoffs between editors, designers, and production teams.
  • Perform design QA and proofreading (layout check, image bleed, folios, running headers/footers) prior to signoff, documenting and resolving defects found in layout, pagination, or exported files.
  • Optimize layouts for cost-efficient printing by advising on trim sizes, page counts, imposition, and bleed strategies to reduce paper waste, binding complexity, and production costs without sacrificing design quality.
  • Manage multiple book design projects concurrently, producing detailed production schedules, milestone tracking, and communicating timeline risks or dependencies to project managers and stakeholders.
  • Create and maintain style sheets and documentation for house typography, series identity, and production workflows to onboard new designers and ensure continuity across titles.
  • Work with rights and permissions teams to verify image licenses, credit lines, and permissions usage, ensuring all assets are cleared for print and digital distribution.
  • Adapt complex graphic-rich content (charts, maps, scientific figures, tables) into readable, print- and web-optimized layouts while keeping fidelity to original data and captions.
  • Troubleshoot font licensing, embedding issues, and text reflow problems in multi-platform exports; coordinate with vendors to resolve technical anomalies during final output validation.
  • Build and deliver prepress checklists and proofs for internal approvals and external vendors; document any alterations made during proofing rounds and secure sign-off prior to print.
  • Conduct design refreshes and reflow strategy for backlist titles, updating page templates, covers, and metadata to improve discoverability and sales performance across retail channels.
  • Provide design input into marketing collateral (ADVANCE reader PDFs, media kits, social assets) by exporting on-brand thumbnails, social banners, and look-inside preview files optimized for online stores.
  • Mentor junior designers and freelancers on publishing-specific layout techniques, prepress standards, and software best practices to elevate team skill level and maintain production quality.
  • Stay current on industry standards, file formats, distribution requirements (Apple Books, Google Play, KDP), and emerging tools for digital publishing and print optimization, recommending improvements to the design pipeline.

Secondary Functions

  • Support cross-functional teams by providing timely design samples, dielines, and mockups for stakeholder reviews and marketing approvals.
  • Assist in vendor selection and procurement of design services or specialized image retouching, evaluating bids against quality, turnaround, and budget constraints.
  • Collaborate with UX/product teams when books are integrated into apps or platforms, advising on responsive layout strategies and visual consistency.
  • Contribute to internal style guides and knowledge base articles about typography choices, InDesign best practices, and preflight checklist items.
  • Participate in creative brief reviews and offering design feasibility feedback early in the title acquisition and editorial planning process.
  • Support ad-hoc formatting requests from sales teams for custom proposals, sample pages, or retailer assets, ensuring rapid and brand-consistent delivery.
