Core Responsibilities

Primary Functions

  • Lead developmental editing for assigned titles by evaluating structure, pacing, character development (fiction) or argument and organization (nonfiction), and produce a detailed editorial plan with recommended revisions that strengthen narrative arc, clarity, and reader impact.
  • Evaluate submissions, proposals, and manuscripts for editorial quality, market fit, competitive positioning, and commercial potential; prepare acquisition memos and present recommendations to senior leadership or editorial boards.
  • Conduct thorough line edits and substantive edits to improve sentence-level clarity, tone, voice consistency, and readability while preserving authorial intent and genre conventions.
  • Perform rigorous copyediting to correct grammar, punctuation, syntax, and style inconsistencies, ensuring adherence to the chosen style guide (Chicago Manual of Style, AP, house style) and publishing standards.
  • Manage the manuscript lifecycle by creating and maintaining detailed production schedules, tracking milestones (editing, copyedits, proofreading, typesetting, printing), and ensuring titles meet contractual delivery dates and launch plans.
  • Coordinate and manage relationships with authors throughout the editorial process, delivering constructive feedback, negotiating revision timelines, and maintaining positive, trust‑based communication that supports creative collaboration.
  • Oversee external editorial freelancers (freelance editors, proofreaders, indexers) by briefing them clearly, assigning tasks, reviewing their work, and ensuring consistency and quality across deliverables.
  • Collaborate closely with design and production teams on cover concepting, interior typography, image selection, and front- and back-matter layout to ensure the editorial vision complements visual and production requirements.
  • Prepare and refine front matter, back matter, acknowledgments, dedications, blurbs, jacket copy, and metadata (title/subtitle, keywords, categories) to optimize discoverability and marketability on retail channels and databases.
  • Ensure legal and rights compliance by verifying permissions for quoted material and third-party content, working with rights managers or legal counsel on clearances and contractual language, and flagging potential libel or rights issues.
  • Lead or participate in author onboarding and revision rounds, providing clear revision instructions and structured editorial letter(s) that prioritize changes by impact and feasibility.
  • Collaborate with marketing, sales, and publicity teams to craft marketing hooks, positioning statements, and promotional materials that accurately reflect the editorial voice and target audience.
  • Conduct sensitivity and content reviews, identifying potentially problematic representations, bias, or accessibility issues, and recommend revisions or sensitivity readers when necessary.
  • Manage budgets and cost estimates for assigned projects, including freelance fees, indexing, permissions, and other editorial expenses, and seek cost-effective solutions that maintain quality.
  • Oversee preparation and delivery of final files (proofread manuscripts, page proofs, ePub/PDF/print-ready files), coordinate author sign-offs, and manage errata or corrections pre- and post-publication.
  • Monitor market trends, bestseller lists, and competing titles to inform editorial strategy, acquisition priorities, and marketing positioning for current and future lists.
  • Mentor and train junior editorial staff and assistants, providing feedback on editorial decisions, coaching on best practices, and fostering consistent house style and standards.
  • Develop and maintain robust style sheets, editorial checklists, and process documentation to ensure consistency and efficiency across editorial projects and teams.
  • Drive quality control by conducting multiple proofreading passes at various stages (pre-press, final proofs) and by implementing corrective actions to prevent recurring errors or process breakdowns.
  • Participate in rights and licensing negotiations by providing editorial input on territorial editions, derivative works, and adaptation potential, and collaborating with rights teams to maximize revenue streams.
  • Facilitate cross-functional editorial meetings and status updates, proactively escalate schedule risks, and propose contingency plans to keep projects on track while preserving quality standards.
  • Curate and maintain relationships with literary agents, scouts, and author networks to source new manuscripts and keep a pipeline of acquisition-ready projects aligned with editorial strategy.

Secondary Functions

  • Support marketing and publicity with author bios, editorial quotes, and content for campaigns, book club kits, and social media assets to boost visibility and discoverability.
  • Coordinate audiobook production by liaising with audio producers, selecting narrators, reviewing audition samples, and ensuring narrative continuity between text and audio editions.
  • Maintain and update book metadata (subject codes, BISAC, keywords) across internal systems and retailer platforms to enhance search performance and target the right readership.
  • Assist with planning and executing book launches, author events, and publicity schedules in collaboration with marketing and publicity teams.

Required Skills & Competencies

Hard Skills (Technical)

  • Advanced copyediting and line-editing proficiency with deep knowledge of the Chicago Manual of Style, AP Stylebook, and house style implementation.
  • Developmental editing capability: structural critique, narrative development, chapter-level reorganization, and content shaping for both fiction and nonfiction.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's degree in English, Journalism, Communications, Creative Writing, Literature, or a related field.

Preferred Education:

  • Master's in Publishing, English, Creative Writing, or a professional certificate in Book Editing/Publishing from an accredited program.
  • Additional coursework or certificates in digital publishing, metadata, or editorial project management are a plus.
