Core Responsibilities
Primary Functions
- Lead and own the end-to-end broker onboarding lifecycle, from new broker intake and documentation collection through account activation, platform configuration, settlement connectivity, and post-go-live support, ensuring SLAs and quality control metrics are met.
- Manage and coordinate all KYC, AML, and regulatory due diligence activities for broker partners, working directly with Compliance and Legal to ensure timely reviews, remediations, and vendor screenings.
- Create, standardize, and maintain onboarding playbooks, checklists, and SOPs that codify required documents, approval gates, and technical steps for every broker type (individual, broker-dealer, RIA).
- Serve as the primary cross-functional liaison between Sales, Product, Engineering, Trading/Operations, and Custody partners to resolve dependencies, prioritize onboarding tickets, and ensure a smooth technical and operational integration.
- Configure broker profiles, account types, commission schedules, trading permissions, clearing arrangements, and custodial linkages in internal systems and broker-facing platforms with strict attention to detail.
- Develop and manage onboarding SLAs, KPIs, and dashboards (e.g., time-to-activation, defect rates, rework rates, % of automated completions), and report weekly/monthly performance to senior leadership.
- Lead a small team of onboarding specialists / coordinators: hire, onboard, coach, set performance goals, and conduct regular 1:1s and performance reviews.
- Operate as the escalation owner for complex onboarding exceptions such as missing licenses, ownership structure anomalies, failing AML checks, or technical API authentication issues, driving resolution to closure.
- Conduct intake assessments for new broker partner partnerships, providing scoping, resource estimates, and timeline commitments to Sales and Partnerships leaders.
- Design and implement automated workflows and integrations (e.g., API key issuance, SFTP onboarding, automated KYC/AML screening) in partnership with Engineering and Product to reduce manual touchpoints.
- Manage third-party vendor relationships tied to onboarding (e.g., identity verification, background screening, compliance data providers), including contracting, SLAs and performance reviews.
- Drive continuous process improvement initiatives — run root cause analyses, implement corrective actions, and document process changes to reduce cycle time and manual errors.
- Create and deliver onboarding training materials, playbooks, and live training sessions for internal teams and broker partners to accelerate time-to-value and ensure consistent onboarding execution.
- Own documentation control for onboarding artifacts and audit trails, ensuring records retention policies and secure storage for sensitive broker documentation.
- Partner with Risk and Legal to assess and document onboarding risk profiles and ensure onboarding decisions align with regulatory frameworks (e.g., FINRA, SEC, FCA or applicable jurisdiction).
- Coordinate and execute system configuration validation, user acceptance testing (UAT), and go-live checklists for new platform releases that affect broker onboarding flows.
- Execute account remediation and lifecycle maintenance activities such as license renewals, ownership changes, broker re-registrations, and periodic re-credentialing.
- Develop and maintain a clear communication cadence for broker partners that includes onboarding timelines, required deliverables, escalation contacts, and milestone confirmations.
- Prepare and present onboarding metrics, root-cause analyses, and program roadmap updates to executive stakeholders and external partners, highlighting risks, dependencies, and resource needs.
- Implement quality assurance checks and sample audits to validate new broker setups, identify recurring errors, and ensure that new accounts meet operational and regulatory standards.
