Core Responsibilities
Primary Functions
- Serve as the primary on-site technical lead responsible for the operation, maintenance, repair and general condition of all building systems, including HVAC, boilers, chillers, plumbing, electrical distribution, elevators, and fire/life-safety systems.
- Plan, prioritize and execute preventive maintenance programs and schedules to minimize downtime, extend equipment life and reduce emergency repairs across mechanical, electrical and building envelope systems.
- Troubleshoot and perform hands-on repairs for plumbing, electrical, HVAC and general building systems, documenting work performed and materials used for asset records and budgeting.
- Coordinate and supervise third-party contractors and vendors (HVAC service, roofing, elevator, pest control, janitorial, landscaping, security) to ensure quality workmanship, timely completion and cost-effective service delivery.
- Conduct regular building inspections (interior and exterior), identify safety hazards, building code violations, and deferred maintenance items, and create prioritized repair plans and work orders.
- Respond to tenant and occupant service requests and emergency incidents 24/7 as required, providing rapid problem resolution and excellent tenant communications while minimizing business interruption.
- Maintain and manage inventory of parts, tools and supplies, implementing controls to optimize stock levels, reduce waste and track expenses against maintenance budgets.
- Manage vendor contracts, obtain competitive bids, negotiate scope and pricing, and monitor contractor performance for cost control and compliance with contract terms.
- Oversee and support fire and life-safety systems testing and inspection schedules (fire alarms, extinguishers, emergency lighting), coordinating with inspectors and regulatory agencies to maintain compliance.
- Maintain accurate maintenance documentation, equipment service histories, warranties, and compliance logs in a computerized maintenance management system (CMMS) or property management software.
- Execute preventive measures and corrective actions to protect building occupants and assets during extreme weather events or other emergencies (snow/ice removal, flooding response, temporary power).
- Implement and enforce site security protocols, keys and access controls, coordinating with security personnel or vendors as needed to maintain a safe environment.
- Manage simple capital projects and small renovations, coordinating with property management, vendors and tenants to ensure scope, timeline and budget adherence.
- Track maintenance and utility costs, assist with annual operating budgets and capital expenditure planning by providing accurate forecasts and justifications for repairs or replacements.
- Ensure compliance with federal, state and local building codes, environmental regulations and occupational safety standards (OSHA), maintaining records and arranging required inspections.
- Provide direct supervision, training, and performance feedback to junior maintenance staff, on-site contractors and seasonal workers to maintain high team performance and safety culture.
- Act as the on-site representative for property management during tenant move-ins and move-outs, ensuring spaces are prepared, inspected and restored to lease standards.
- Oversee waste management, recycling programs and pest control initiatives, partnering with vendors and tenants to maintain sanitation standards and regulatory compliance.
- Serve as the primary point of contact for tenant communications related to maintenance schedules, building disruptions, and safety notifications, maintaining professional and solution-focused interactions.
- Maintain and test emergency generators, transfer switches and backup power systems to ensure reliable operation during outages and critical events.
- Monitor and optimize building environmental performance by tracking energy consumption, supporting energy efficiency projects and participating in sustainability initiatives to reduce operating costs.
- Prepare incident reports, insurance claim documentation and support investigations related to property damage, liability or safety incidents.
Secondary Functions
- Support capital planning by evaluating lifecycle costs and recommending replacements or upgrades for building systems and common-area finishes.

Required Skills & Competencies
Hard Skills (Technical)
