Core Responsibilities

Primary Functions

  • Prepare, assemble, and file complex nonimmigrant and immigrant petitions including H‑1B, L‑1, TN, O‑1, E‑2, PERM labor certifications, I‑140 immigrant petitions, and I‑485 adjustment of status packages, ensuring compliance with current USCIS and DOL rules.
  • Draft, proofread and finalize immigration forms (I‑129, I‑129H, I‑140, I‑765, I‑131, I‑539, DS‑160/DS‑260) and supporting exhibits, cover letters, and legal narratives to support attorney review.
  • Manage the end‑to‑end PERM process: prepare recruitment documentation, compile recruitment reports, complete ETA‑9089 drafts, track recruitment timelines, and prepare audit responses and internal affidavits.
  • Coordinate with HR, hiring managers, and employees to gather biographical, employment and supporting documentation (contracts, pay stubs, diplomas, translations), and maintain secure document repositories.
  • Maintain immigration case management systems (e.g., LawLogix, Tracker I9, INSZoom, Docketwise) with accurate case notes, deadlines, document uploads, and automated alerts to ensure timely filings and compliance.
  • Monitor USCIS, DOS and DOL changes, service center guidance, and policy updates; summarize material changes for attorneys and HR and update internal SOPs and checklists accordingly.
  • Prepare and manage responses to Requests for Evidence (RFEs), Notices of Intent to Deny (NOIDs), audit letters, and site visits by compiling evidence, drafting responses and coordinating attorney review and submission.
  • Coordinate consular processing and visa stamping logistics: prepare DS‑160, consulate appointment checklists, pre‑interview guidance, and respond to consular requests on behalf of employees.
  • Track and calendar critical deadlines (visa expirations, EAD/AP renewals, extension timing, H‑1B cap filings, PERM recruitment windows) and proactively notify stakeholders of required actions.
  • Prepare I‑9 support documentation and advise HR on employment authorization verification, worksite compliance and E‑Verify processes related to immigrant and nonimmigrant employees.
  • Support premium processing and service center interactions (I‑907 submissions, USCIS case inquiries) and coordinate fee payments and courier logistics for filings and deliveries.
  • Manage client billing tasks: prepare billing narratives, record attorney time entries, reconcile filing fees and invoices, and support outside counsel vendor management and invoices.
  • Conduct legal research and factual investigation to support attorney case strategy, including precedent memoranda, eligibility analysis and country condition research as needed.
  • Assist attorneys in preparing for client meetings, immigration audits, immigration training sessions for HR and managers, and annual corporate immigration program reviews.
  • Serve as a primary point of contact for employees and third‑party vendors (translation services, medical exam providers, immigration vendors) to coordinate documentation and deadlines in a client‑centric manner.
  • Create and maintain standard templates, checklists, and filing kits to streamline petition preparation and to ensure consistent, high‑quality submissions across cases.
  • Compile and prepare evidence packages for adjustment of status (I‑485), naturalization support, and EAD/LPR maintenance, including medical records, civil documents and affidavits.
  • Support attorney strategy on complex matters such as dual intent issues, H‑1B portability, concurrent filings, consular refusals, waivers, and appeals/motions when applicable.
  • Prepare visa extension and transfer packets for colleagues changing roles or locations, including L‑1 intracompany transfer documentation and corporate evidence.
  • Assist in data extraction and reporting on immigration caseload metrics, visa expirations, and budget forecasting to support HR and legal leadership decision‑making.
  • Maintain strict confidentiality of employee and corporate immigration records and ensure secure handling, storage, and disposal of sensitive immigration documentation in compliance with company policies and legal requirements.
  • Support post‑filing case management: track approvals, coordinate issuance of approval notices, work permits and travel authorizations, and implement next steps following petition adjudication.

Secondary Functions

  • Provide training and onboarding for HR teams and new paralegals on immigration processes, case management systems and filing best practices.
  • Partner with global mobility and international HR teams to coordinate cross‑border visa strategies and streamline relocation workflows.
  • Participate in periodic internal audits and compliance reviews, prepare audit packages, and implement remediation plans when issues are identified.
  • Develop and maintain SOPs and knowledge base articles for common immigration scenarios, visa checklists, and internal FAQs for employees.
  • Support process improvement initiatives to reduce filing errors, accelerate document collection, and enhance client satisfaction metrics.
  • Assist with ad‑hoc reporting: immigration dashboards, headcount impacted by visa status, and anticipated filing volumes for upcoming fiscal periods.
  • Liaise with external counsel and third‑party providers to escalate complex questions, obtain specialist advice, and ensure cost‑effective outsourcing when necessary.
  • Support emergency travel and urgent consular assistance for employees with imminent deadlines or unexpected legal matters.
  • Maintain up‑to‑date templates for client communications, offer letters, and immigration advisories to ensure consistent messaging across the organization.
  • Participate in cross‑functional projects (M&A integration, new office openings) to support immigration needs and transfer planning for affected employees.

Required Skills & Competencies

Education & Experience

Educational Background

Minimum Education:

  • Associate degree or Paralegal Certificate with coursework or experience in immigration law.

Preferred Education:

  • Bachelor’s degree in Legal Studies, Political Science, International Relations, or related field; certified paralegal preferred (NALA, NFPA).
