Core Responsibilities
Primary Functions
- Own recurring business reporting and KPI dashboards (monthly, weekly, daily), including lead-to-revenue funnels, churn and retention metrics, unit economics, and operational SLAs; translate findings into executive-ready narratives and recommended actions.
- Design, maintain and automate operational processes (onboarding, billing, renewals, escalations) to reduce manual effort and error rates; document standard operating procedures (SOPs) and runbooks for cross-functional teams.
- Partner with Sales, Customer Success, Finance, and Product to operationalize go-to-market initiatives: coordinate launch plans, ensure data integrity, and measure early impact against success metrics.
- Conduct deep-dive analyses on growth levers, pricing, product usage, and customer segmentation to inform strategy and prioritization; surface root causes and quantify opportunity size and required investment.
- Manage ad-hoc and recurring data requests across the business; build reproducible analysis using SQL, BI tools, and spreadsheet models to accelerate decision-making.
- Lead or coordinate small-to-medium cross-functional projects (process redesigns, pilot programs, product feature rollouts), owning timelines, resources, stakeholder communications, and metrics for success.
- Build and maintain operational dashboards in Looker/Tableau/Power BI, ensuring data lineage, semantic consistency, and user access policies for business stakeholders.
- Audit CRM and ERP systems (Salesforce, HubSpot, Netsuite) for data quality issues, implement data hygiene rules, and partner with admins to enforce validation and automation.
- Support quota setting, commission calculations, and incentive plan operations by reconciling sales data, modelling scenarios, and validating payouts with payroll/finance.
- Drive continuous improvement initiatives by running process metrics (cycle time, throughput, error rates), facilitating root cause workshops, and implementing corrective actions.
- Serve as the primary operational contact for new product or market launches: define ops requirements, configure systems, create training materials, and monitor adoption.
- Prepare executive summaries and presentations for leadership reviews, translating operational metrics into strategic insights and recommended next steps.
- Coordinate vendor relationships and operational integrations (payments, analytics, provisioning), managing SLA adherence, escalations, and contract renewals where applicable.
- Implement playbooks for customer lifecycle events (implementation, expansion, renewal, churn prevention), enabling scalable handoffs between marketing, sales, and customer success teams.
- Create and maintain cross-functional runbooks for incident management, escalations, and emergency changes that minimize customer impact and speed recovery.
- Facilitate capacity planning and resource forecasting by modeling workload, throughput, and projected headcount needs to support growth targets.
- Identify automation opportunities using scripting, low-code/no-code tools, or RPA; prototype automations and measure time saved versus manual processes.
- Coordinate financial reconciliations, support month-end close tasks related to operations (deferred revenue, credits, adjustments), and provide necessary audit documentation to finance.
- Drive adoption of operational tooling and processes through training sessions, internal communications, and feedback loops; measure adoption and iterate.
- Maintain compliance and operational controls for data privacy, billing accuracy, and contract fulfillment; partner with Legal and Compliance to remediate gaps.
- Conduct competitive and market operational benchmarking to identify best practices and potential operational differentiators.
Secondary Functions
- Support ad-hoc data requests and exploratory data analysis to answer strategic and tactical business questions.
- Contribute to the organization's data strategy and roadmap by identifying gaps in reporting, instrumentation, and governance.
- Collaborate with business units to translate data needs into engineering requirements and prioritized product/analytics backlog items.
- Participate in sprint planning and agile ceremonies within cross-functional teams to ensure operational requirements are represented and delivered.
- Assist in onboarding and training new operations hires and frontline staff on processes, systems, and reporting expectations.
- Run periodic quality assurance checks on transaction flows (billing, provisioning, renewals) and coordinate fixes with engineering or product teams.
- Support pilot programs and scaling plans; set success criteria, monitor pilot metrics, and create post-pilot operationalization plans.
- Document lessons learned and continuous improvement suggestions after major operational initiatives or incidents.
- Help evaluate and implement new tools/platforms to increase efficiency (e.g., CRM apps, business intelligence tools, workflow automation platforms).

Required Skills & Competencies
