  • Project Coordinator / Program Analyst

Core Responsibilities

Primary Functions

  • Conduct detailed end-to-end process mapping and documentation for core business workflows using industry-standard tools (Visio, Lucidchart, BPMN), capturing inputs, outputs, SOPs, decision points, and handoffs to reduce ambiguity and increase operational consistency.
  • Analyze process performance metrics and KPIs (cycle time, throughput, error rates, cost per transaction) and produce regular dashboards and executive summaries to inform continuous improvement initiatives.
  • Lead or support Lean, Six Sigma, or Kaizen-style process improvement projects by identifying waste, measuring baseline performance, designing countermeasures, and tracking results to ensure sustainable improvements.
  • Facilitate cross-functional workshops and process discovery sessions with stakeholders (operations, IT, finance, legal, customer success) to identify root causes and co-create process redesigns that address customer and business objectives.
  • Draft, maintain, and enforce standard operating procedures (SOPs), process playbooks, and work instructions to ensure regulatory compliance and consistency across regions and business units.
  • Execute gap analyses between current-state processes and target-state processes, recommending practical changes and phased implementation plans that align with organizational priorities.
  • Support process change management by preparing communication plans, training materials, and quick reference guides; partner with training teams to deliver process-related onboarding and refresher sessions.
  • Monitor post-implementation outcomes, performing A/B or pilot analyses where appropriate, and adjusting process controls to ensure expected benefits (quality, cost, speed) are realized.
  • Prepare business cases and ROI analyses for automation or tool investments, including time-and-motion studies and cost-benefit models to prioritize high-impact opportunities.
  • Manage and maintain process repositories and version control for all documented workflows to ensure a single source of truth for the organization.
  • Coordinate with IT / RPA teams to translate process steps into automation requirements, participate in user acceptance testing (UAT), and validate automated processes against manual workflows for accuracy.
  • Review and reconcile operational data to identify inaccuracies, systemic errors, and data-entry gaps, then propose corrective controls to improve data integrity.
  • Perform regular compliance and risk assessments of operational processes and implement controls to mitigate audit findings or regulatory issues.
  • Develop and maintain SLA and operational KPI reporting packages that are distributed to leadership, including narrative insights and recommended actions.
  • Support vendor or third-party operational assessments, reviewing partner processes, SLAs, and performance to ensure alignment with internal standards and contractual requirements.
  • Serve as a liaison between business stakeholders and technical teams to translate business requirements into clear process flows, acceptance criteria, and test scripts.
  • Implement and maintain process control charts and statistical monitoring where appropriate to proactively identify process drift and variability.
  • Assist in prioritization of workload and process backlog using objective scoring frameworks tied to strategic goals, customer impact, and ROI.
  • Capture and codify best practices and lessons learned from process initiatives to accelerate future transformations and institutionalize continuous improvement.
  • Provide day-to-day operational support for escalations, process exceptions, and root-cause investigations, ensuring quick corrective action and durable fixes.

Secondary Functions

  • Support ad-hoc data requests and exploratory data analysis.
  • Contribute to the organization's data strategy and roadmap.
  • Collaborate with business units to translate data needs into engineering requirements.
  • Participate in sprint planning and agile ceremonies within the data engineering team.
  • Assist in vendor onboarding and integration testing to ensure external systems comply with internal processes and data standards.
  • Maintain and improve process-related templates and tools (RACI matrices, SOP templates, process maturity checklists) to streamline future projects.
  • Provide mentoring and guidance to junior process associates or interns on documentation standards and analysis techniques.
  • Support audit readiness efforts by preparing process artifacts, test evidence, and remediation plans for audit reviewers.
  • Track and escalate systemic operational issues to leadership, recommending short-term containment and longer-term corrective plans.
  • Contribute to cross-functional initiatives (product launches, regulatory changes, system migrations) to ensure process readiness and continuity.
