Core Responsibilities

Primary Functions

  • Coordinate and manage end-to-end international shipments by ocean, air, road, and rail, ensuring timely booking, documentation, consolidation, and delivery while meeting customer service expectations and contractual SLAs.
  • Prepare, review and process all export and import documentation including commercial invoices, packing lists, bills of lading (house/master B/L), air waybills (AWB), certificates of origin, letters of credit documentation, and any special permits or certificates required by destination countries.
  • Liaise directly with carriers, vessel operators, airlines, trucking companies and rail providers to secure space, negotiate freight rates, and finalize routing options that minimize transit time and total landed cost.
  • Manage customs clearance processes in partnership with licensed customs brokers: submit customs declarations, classify goods under the Harmonized System (HS codes), secure tariff rulings, and ensure payment of duties and taxes on behalf of clients when required.
  • Monitor and track cargo throughout the supply chain using TMS, carrier portals and EDI integrations, proactively communicating status updates, ETA adjustments, and exception alerts to customers and internal stakeholders.
  • Build and maintain commercial relationships with shippers, consignees, third-party logistics providers, and local agents to secure competitive rates, improve service levels and expand service offerings across trade lanes.
  • Coordinate consolidation and deconsolidation activities (LCL/FCL) including cargo stuffing, container stuffing plans, and coordination with warehouse partners to optimize container utilization and reduce detention/demurrage exposure.
  • Evaluate, price and prepare competitive freight quotations and commercial proposals for prospective and existing clients, including detailed routing options, transit times, surcharges and insurance recommendations.
  • Implement and enforce compliance with international shipping regulations and standards including Incoterms, IMO, IATA Dangerous Goods Regulations, ATF/Os, and local import/export controls to prevent fines, seizures and reputational risk.
  • Manage invoicing, billing reconciliation and cost allocation for carriers, subcontractors and customers; resolve billing discrepancies and ensure timely collections and accurate profit margin reporting.
  • Handle claims management for cargo loss, damage or delay: gather evidence, coordinate surveyors, file claims with carriers and underwriters, and negotiate settlements to achieve fair outcomes for clients.
  • Oversee hazardous materials (HAZMAT) and dangerous goods shipments ensuring correct classification, documentation, packaging, labeling and carrier acceptance in compliance with IMDG and IATA regulations.
  • Execute port and terminal operations coordination including container pick-up/drop-off instructions, gate manifests, TEU/LCL planning, release of delivery orders, and management of demurrage and detention processes.
  • Develop and maintain SOPs, service level agreements, and playbooks for recurring routings and account-specific processes to ensure operational consistency and regulatory adherence.
  • Use freight audit and payment processes to reconcile carrier invoices against contracts, detect billing errors, and enforce contracted tariff terms with carriers and NVOCCs.
  • Lead cross-border transport problem resolution during disruptions (weather, strikes, port congestion), quickly developing contingency plans such as alternative routings, re-consignments, or airlift options to minimize client impact.
  • Coordinate warehouse, drayage and last-mile delivery partners to schedule pickups, arrange cross-dock activities, and ensure accurate inbound/outbound manifesting and inventory reconciliation.
  • Maintain and analyze performance KPIs (on-time delivery, transit times, cost per shipment, claims ratio) and prepare regular management reports to support continuous improvement initiatives and commercial decision-making.
  • Support contract negotiations and tender processes for large shippers, consolidating lane data, benchmarking carrier performance, and recommending supplier selections that align with service and cost objectives.
  • Facilitate electronic data interchange (EDI) and system integrations with carriers and customers, including setting up booking messages, status updates and billing exchanges to streamline operations and reduce manual tasks.
  • Provide technical guidance and training to junior operations staff and local agent networks on document requirements, routing best practices, and compliance procedures to uplift team capability.

Secondary Functions

  • Conduct periodic route cost analysis and market intelligence to identify new trade lane opportunities and cost-saving initiatives for customers.
  • Participate in cross-functional projects such as TMS implementations, digitalization initiatives, or sustainability programs focused on reducing CO2 emissions and optimizing modal mix.
  • Support sales team by providing technical input for RFP responses, strategic account reviews, and operational feasibility assessments.
  • Maintain up-to-date knowledge of country-specific import/export controls, sanctions, embargoes and license requirements to advise clients on regulatory constraints.
  • Assist in periodic audits, internal controls and compliance reviews to ensure adherence to company policies and international trade regulations.
  • Prepare monthly and quarterly reports for leadership showing commercial performance, margin analysis and operational exceptions.
  • Develop and maintain relationships with insurance brokers to facilitate cargo insurance placement and specialized coverage for high-value or perishable shipments.
  • Participate in continuous improvement workshops and lean initiatives to reduce manual processing, shorten lead times and improve customer satisfaction scores.

Hard Skills (Technical)

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or equivalent; vocational diploma in logistics or transportation recommended.

Preferred Education:

  • Bachelor’s degree in Supply Chain Management, Logistics, International Trade, Business Administration, or related field.
  • Professional certifications such as FIATA Diploma, IATA Cargo, Certified Logistics Associate/Technician, Customs Broker license or equivalent are advantageous.
