Core Responsibilities

Primary Functions

  • Count, verify and reconcile daily cash, coin, checks, gift card transactions and electronic payments from all POS terminals and register tills, ensuring totals match daily store sales reports and safe records.
  • Prepare accurate bank deposits, including deposit slips and supporting documentation, and coordinate timely handoff or scheduling with armored carrier services or bank courier pickups.
  • Investigate and document cash variances, shortages, overages and register discrepancies; perform root-cause analysis and escalate recurring issues to management with recommended corrective actions.
  • Maintain the cash room, safe and vault controls: log access, secure keys and combinations, implement dual-control procedures and document chain-of-custody for cash movements.
  • Reconcile POS summaries, credit card batch totals and store-level float accounts to ensure proper posting to the general ledger and to support month-end close activities.
  • Process and verify third-party payments, cashier’s checks, money orders, returns/refunds and adjustments; ensure proper approvals, identification and compliance with company policies.
  • Execute nightly close procedures, including counting tills, reconciling drawer variances, generating reconciliation reports and filing required paperwork for audit trails.
  • Perform daily reconciliation of petty cash and change funds; request replenishment and ensure accurate posting and documentation for each disbursement.
  • Coordinate and schedule armored carrier pickups and bank deposits, prepare pickup manifests, and verify pickup receipts against deposit logs and system records.
  • Support internal and external audit activities by preparing schedules, producing detailed cash reconciliation support, and answering auditor inquiries in a timely manner.
  • Use cash-counting hardware and software (bill counters, coin sorters, safe management systems) and troubleshoot routine equipment issues to maintain uninterrupted operations.
  • Maintain accurate and up-to-date logs for safe drops, cash transfers, deposit bags and check endorsements to ensure traceability and loss-prevention compliance.
  • Monitor and enforce PCI, SOX and company-level cash handling policies to maintain regulatory compliance, and participate in periodic control testing and remediation actions.
  • Train, mentor and provide daily oversight to front-end associates and temporary staff on correct cash handling, cash drop procedures and deposit preparation to minimize errors and shrink.
  • Generate and distribute daily, weekly and monthly cash variance and exception reports to store leadership and regional finance teams with clear narrative explanations and recommended next steps.
  • Reconcile and deposit multi-channel payments (in-store sales, e-commerce pick-ups, third-party delivery receipts) and ensure accurate routing to financial systems.
  • Maintain detailed records for gift card activations, returns and voids; reconcile gift card liabilities and investigate mismatches with point-of-sale records.
  • Facilitate cash-related investigations including suspected fraud, counterfeit currency, and register manipulation; coordinate with Loss Prevention and store leadership as necessary.
  • Assist with month-end and year-end close activities by preparing reconciliations, submitting variance explanations and uploading supporting documentation to finance systems.
  • Ensure inventory of cash office supplies (deposit bags, tamper-evident seals, logbooks) is maintained, ordered and audited periodically to avoid operational disruptions.
  • Review and post adjustments for vendor payment errors, refunds and manual journal entries related to cash accounting and ensure appropriate approvals are obtained.
  • Maintain confidentiality of financial data and exercise high ethical standards, consistent with internal controls and regulatory requirements.
  • Build strong working relationships with store managers, regional finance and banking partners to streamline cash handling processes and quickly resolve exceptions.
  • Participate in continuous improvement initiatives to optimize cash-counting workflows, minimize shrink and improve reconciliation efficiency using automation or updated procedures.

Secondary Functions

  • Provide backup support to front-end operations during peak periods (register coverage) while maintaining segregation of duties controls where feasible.
  • Assist the finance team with ad-hoc cash reporting requests, data extracts and basic analysis for special projects or month-end reconciliations.
  • Support new store openings or temporary store staff transitions by setting up cash office procedures, safes, initial floats and deposit schedules.

Required Skills & Competencies

Hard Skills (Technical)

  • Proven cash handling and reconciliation skills, including counting, batching and verifying large cash volumes accurately under time constraints.
  • Proficiency with POS systems and retail back-office software (experience with NCR, Oracle Retail, SAP, or similar systems is a plus).
  • Strong Excel skills (pivot tables, VLOOKUP/XLOOKUP, conditional formatting and basic macros) for preparing reconciliation schedules and variance reports.
  • Familiarity with bank deposit preparation, deposit reconciliation and coordinating armored carrier logistics.

Educational Background

Minimum Education:
