The Corporate Affairs Coordinator is an early- to mid-level specialist responsible for supporting the organisation’s corporate reputation, stakeholder engagement and regulatory compliance activities. This role coordinates corporate communications, government and community relations, corporate governance support and advisory materials for internal and external audiences. The coordinator will build and maintain stakeholder registers, draft briefing notes and media lines, monitor legislative and policy developments, support board and executive communications, and manage small cross-functional projects and events to advance the organisation’s strategic objectives.

Core Responsibilities

Primary Functions

  • Develop, draft and distribute high-quality briefing notes, executive summaries and decision-ready papers for senior leadership and board members, ensuring accuracy, strong executive messaging and alignment with corporate strategy.
  • Maintain and continually update a comprehensive stakeholder register and contact database (government, regulators, community groups, industry bodies and media) to enable targeted engagement and rapid outreach when needed.
  • Monitor, analyse and report on legislative, regulatory and policy developments at local, state and federal levels; assess business impact and prepare timely alerts and recommended actions for cross-functional teams and executives.
  • Coordinate and manage government and regulatory engagement activities, including preparing meeting briefs, stakeholder maps, talking points, follow-up correspondence and outcomes tracking to support effective advocacy.
  • Draft and manage external communications (media releases, Q&As, official statements and website content) in partnership with communications and legal teams to protect reputation and ensure compliance with disclosure requirements.
  • Support crisis and issues management by preparing clear, concise response lines, press briefing materials and escalation summaries; coordinate with legal, communications and operations teams during incidents.
  • Provide governance support: assist with preparing board packs, board meeting minutes, standing agenda items, registers of interests and governance documentation to ensure compliance with corporate governance standards.
  • Coordinate community and stakeholder events, roundtables and consultation sessions, overseeing logistics, invitations, briefings, venue/supplier coordination and post-event follow-up to deliver polished stakeholder experiences.
  • Prepare stakeholder-facing reports, corporate social responsibility (CSR) updates and impact statements that synthesise quantitative and qualitative data into compelling narratives for external audiences.
  • Build and sustain strong relationships with external stakeholders including industry associations, elected officials, regulatory agencies and community leaders to advance the organisation’s priorities and identify partnership opportunities.
  • Manage routine correspondence with government departments, regulators and external partners, including Freedom of Information (FOI) enquiries, license/permit submissions and formal consultation responses.
  • Coordinate internal communications campaigns and employee briefings that explain policy changes, regulatory impacts or strategic initiatives, working with HR and internal comms teams to ensure clarity and engagement.
  • Conduct targeted research and policy analysis on sector trends, competitor activity and public policy priorities, and produce succinct policy briefs and recommendations for senior stakeholders.
  • Support lobbying and advocacy activities in line with legislative and compliance requirements, maintaining accurate logs of meetings, outcomes and prescribed reporting for transparency and auditability.
  • Facilitate cross-functional project delivery by coordinating timelines, actions and stakeholder approvals for initiatives that have regulatory, reputational or community impact.
  • Draft and maintain standard operating procedures, templates and communication toolkits for corporate affairs activities to improve consistency and efficiency across the function.
  • Track and report on media coverage and sentiment regarding the organisation and key issues; prepare media monitoring summaries and insights for the leadership team.
  • Assist with budget tracking and procurement processes for corporate affairs projects, supplier relationships and events to ensure value for money and financial compliance.
  • Support third-party engagement and contract management for consultants, PR agencies and policy advisors, ensuring scope clarity, deliverables tracking and performance feedback.
  • Ensure records management and compliance by maintaining accurate registers (meetings, gifts & hospitality, lobbying logs) and supporting audits and regulatory inspections as required.
  • Train and coach internal spokespeople and subject-matter experts on messages, Q&A handling and media interview techniques ahead of engagements with external audiences.
  • Contribute to measurement and evaluation of corporate affairs activities by developing KPIs, collecting outcomes data and preparing post-activity analysis to inform continuous improvement.

Secondary Functions

  • Provide ad-hoc analysis and reporting to support policy development and stakeholder engagement workstreams, using simple data visualisations when required.
  • Assist in drafting and formatting presentations, internal reports and executive materials for public hearings, parliamentary inquiries or industry consultations.
  • Support the organisation’s data governance and records retention processes specific to external engagement, including version control and archival of correspondence and briefings.
  • Maintain an issues and risks register for corporate affairs matters and escalate emerging reputational or regulatory risks to the Corporate Affairs Manager.
  • Coordinate with legal, compliance and HR teams to respond to external requests, subpoenas or official inquiries requiring cross-departmental input.
  • Support volunteer or community grant programs administered by the corporate affairs team, including application processing and reporting to stakeholders.
  • Participate in regular planning sessions and work prioritisation meetings with the corporate affairs and communications teams to align resources and timelines.
  • Assist with the preparation of annual stakeholder engagement plans and corporate affairs reports for sustainability or integrated reporting cycles.
  • Foster knowledge sharing by documenting lessons learned from stakeholder engagements, consultations and advocacy campaigns for internal use.
  • Act as a backup contact for media monitoring and basic media liaison outside normal business hours where required.

Required Skills & Competencies

  • Stakeholder mapping and relationship management: ability to maintain and segment stakeholder databases (e.g., CRM systems such as Salesforce, HubSpot or bespoke registers).

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's degree in Communications, Public Policy, Law, Political Science, Business Administration or related discipline.

Preferred Education:

  • Postgraduate qualification in Public Policy, Government Relations, Communications, Law or Corporate Governance is desirable.

Experience Requirements

Typical Experience Range: 2–5 years of professional experience in corporate affairs, communications, government relations, policy analysis or a closely related function.

Preferred: 3+ years’ experience supporting senior executives in a corporate, government or not-for-profit environment, with demonstrable experience in stakeholder engagement, preparing executive briefings and tracking legislative/regulatory issues. Experience in a regulated industry (energy, finance, healthcare, utilities) or familiarity with public sector processes is an advantage.
