Core Responsibilities
Primary Functions
- Provide professional chairside assistance for general dentistry procedures (restorative, endodontic, extractions, crown/bridge) by preparing trays, passing instruments, suctioning, retraction, and anticipating clinician needs to minimize procedure time and maximize patient comfort.

- Schedule, confirm, and manage appointments using practice management systems (e.g., Dentrix, Eaglesoft, OpenDental), optimize recall systems, minimize no-shows, and coordinate treatment sequencing and operatory utilization.
- Prepare and deliver patient pre‑operative and post‑operative instructions both verbally and in writing; document informed consent discussions and post‑treatment follow‑up plans in the chart.
- Sterilize and maintain dental instruments, handpieces and operatory surfaces following CDC/OSHA/ADA infection control guidelines; operate autoclave, monitor sterilization logs and biological indicators.
- Assist with impressions, provisional restorations, cementation, tray placement, bite registrations, and delivery of temporary appliances; transfer/label impressions and communicate with dental labs for case coordination.
- Maintain accurate clinical documentation of procedures, materials used, anesthesia dosages and lot numbers, and progress notes to ensure thorough legal and clinical records.
- Process patient payments, post payments to ledgers, manage daily cash reconciliation, handle credit card transactions and provide receipts; support collections and follow up on outstanding balances.
- Answer multi-line phone systems professionally, triage incoming calls for urgent care needs, triage clinical concerns to providers, handle appointment requests, and respond to voicemail and email in a timely manner.
- Educate patients on home care, periodontal maintenance, oral hygiene techniques and recommended treatment plans; provide motivational coaching to improve compliance and recall adherence.
- Maintain inventory of clinical and office supplies, order materials proactively, track stock levels, and manage vendor relationships to control costs and avoid treatment delays.
- Prepare treatment rooms and materials for sterilization and next patient, ensure operatory readiness (suction lines, disposable barriers, and instrument sets), and support efficient operatory turnover.
- Assist clinicians with local anesthesia setup (prepare carpules, aspirating syringes where scope of practice permits), topical anesthetics, and monitoring patient comfort and vitals during procedures.
- Support specialty procedures by preparing specific armamentarium (e.g., bonding agents, etchants, matrix systems), mixing cements and impression materials, and ensuring immediate availability of required materials.
- Coordinate referrals and specialist appointments, prepare and send referral documentation, radiographs, and photographic records; follow up on specialist reports to update treatment plans.
- Review and code procedures using CDT codes and assist with claim preparation/submission to dental carriers; support billing staff with needed clinical documentation to adjudicate claims.
- Ensure compliance with HIPAA, OSHA bloodborne pathogen and hazardous materials handling regulations; participate in staff training and maintain required certifications, logs and safety documentation.
- Manage patient recall and reactivation lists, perform targeted outreach for preventive care and restorative follow-ups, and track conversion metrics for recommended treatments.
- Support marketing and patient experience initiatives by collecting patient feedback, scheduling new patient consultations, and representing the practice brand with professionalism and empathy.
Secondary Functions
- Prepare periodic clinical and administrative reports (production, collections, recall metrics) and provide data to office management to support business decisions.
