Core Responsibilities

Primary Functions

  • Lead and manage all front-office and administrative operations — including patient scheduling, appointment confirmations, new patient intake, patient check-in/check-out, and telephone/email communication — to ensure an efficient, patient-centered experience and to reduce no-shows and cancellations.
  • Oversee the revenue cycle end-to-end: verify insurance eligibility, pre-authorizations, accurate fee quoting, charge entry, claim submission, follow-up on denials, and escalate complex billing issues to maximize collections and minimize days in accounts receivable.
  • Develop, monitor, and report on key performance indicators (KPIs) such as monthly production per provider, collection rate, AR > 90 days, patient retention, appointment fill rate, and hygiene re-care percentages, and implement action plans to meet or exceed practice goals.
  • Supervise, hire, train, mentor, and discipline front-desk staff, treatment coordinators, billing personnel, and administrative associates; conduct regular performance reviews and create individualized development plans to build a high-performing team.
  • Create and maintain daily and weekly staff schedules aligned to production goals and patient demand; adjust staffing coverage for emergencies, provider schedules, and peak patient flow to preserve service levels and profitability.
  • Manage patient financial conversations and payment plans, train staff on presenting treatment estimates empathetically, and ensure consistent collection of co-pays, deductibles, and co-insurance at time of service.
  • Implement and enforce clinical administrative protocols that support infection control standards, sterilization logs, instrument tracking, and compliance with OSHA Bloodborne Pathogen and state dental board requirements.
  • Maintain accurate and secure patient records in the practice management system (Dentrix, Eaglesoft, Open Dental, Eaglesoft, or equivalent) and EHR; audit charting and billing entries regularly to prevent documentation or coding discrepancies.
  • Oversee accounts payable, monthly bank reconciliations, petty cash, payroll coordination, and vendor management; manage supply orders, negotiate vendor contracts, and monitor inventory levels to control overhead and prevent stockouts.
  • Coordinate with providers and clinical leads to optimize chair time, sequence treatment delivery, and reduce treatment room turnover time while preserving quality of care and patient safety.
  • Lead patient experience initiatives, including patient satisfaction surveys, complaint resolution, recall programs, and practice communications to improve online ratings and increase patient referrals.
  • Ensure robust compliance with HIPAA privacy and security policies; manage breach response protocols, staff training, and regular audits to safeguard patient information.
  • Manage the practice’s marketing and community outreach activities — referral relationships, local advertising, website/SEO listings, social media presence, and new patient campaigns — to grow the patient base and increase case acceptance.
  • Administer and refine practice policies, employee manuals, job descriptions, and standard operating procedures (SOPs); drive continuous process improvement through ongoing root-cause analysis and staff feedback.
  • Facilitate monthly operations and production meetings with clinical and administrative teams to review results, align priorities, and set measurable improvement targets.
  • Coordinate and support credentialing, insurance panel enrollment, and payer relations to expand patient access and reduce claim rejections due to eligibility or credentialing issues.
  • Lead onboarding and continuing education scheduling for staff, including HIPAA training, OSHA/BBP, customer service, and software system training to maintain licensure and certifications and to foster career development.
  • Implement and manage quality assurance and compliance audits — clinical documentation, billing accuracy, sterilization logs, and regulatory checklists — and prepare the practice for inspections or third-party audits.
  • Troubleshoot and coordinate with IT vendors and EHR/PM support to maintain scheduling systems, digital imaging integration, backups, and cybersecurity measures to minimize downtime and protect data integrity.
  • Serve as the primary escalation point for complex patient issues, insurance disputes, and administrative emergencies, mediating solutions that preserve patient relationships and protect practice revenue.
  • Develop and manage the practice budget, drive cost-saving initiatives while protecting quality, and produce monthly financial statements and variance analyses for owners and stakeholders.

Education & Experience

Educational Background

Minimum Education:

  • High school diploma or GED required.

Preferred Education:
