Core Responsibilities
Primary Functions
- Supervise daily dock operations including coordinating inbound receiving and outbound shipping to meet scheduled pickup and delivery windows while minimizing dwell time and dock congestion.
- Lead, train, and mentor a team of dock associates, forklift drivers, and yard personnel; create shift assignments, enforce procedures, and conduct on-the-spot coaching to improve performance and safety.
- Manage the safe and efficient loading and unloading of trailers, containers and rail cars, ensuring loads are staged, palletized and secured to customer and carrier specifications to prevent product damage.
- Maintain strict compliance with OSHA regulations, company safety policies, DOT requirements, and site-specific protocols; conduct regular safety briefings, toolbox talks, and incident investigations.
- Operate and oversee powered industrial trucks (forklifts, reach trucks, pallet jacks) and ensure operators hold valid certifications and follow daily equipment inspection checklists.
- Coordinate with transportation carriers, third-party logistics providers, and internal dispatch to sequence trailers, manage detention, and prioritize shipments to meet customer service level agreements.
- Execute and oversee cross-docking operations, consolidations, and break-bulk activities to accelerate transit times and reduce handling.
- Monitor, report and act on key performance indicators (KPIs) such as dock-to-stock time, shipments per hour, on-time shipments, trailer dwell time, and damage rates; implement corrective actions as needed.
- Maintain accurate shipping and receiving documentation including bills of lading (BOLs), carrier manifests, discrepancy reports and damage claims; ensure electronic and paper records are complete and auditable.
- Use Warehouse Management Systems (WMS), RF scanners and ERP modules to confirm receipts, print labels, confirm putaway directions, and finalize shipping confirmations.
- Stage and sequence orders to meet carrier loading plans and customer delivery requirements, ensuring temperature-controlled and hazardous materials are handled according to policy.
- Direct yard management tasks including trailer spotting, plug-in for refrigerated units, trailer security, and yard checks to maintain orderly traffic and safe vehicle movement.
- Inspect incoming freight for quality and accuracy, document shortages and damages, and coordinate claim resolutions with carriers and customer service teams.
- Create and maintain shift checklists, SOPs and standard work for dock processes; drive standardization to reduce variability and errors across shifts and teams.
- Plan and implement labor scheduling and workload balancing across multiple shifts during peak periods, holidays and seasonally high volumes.
- Coordinate preventive maintenance and repairs for dock equipment (levelers, seals, dock plates) and powered industrial trucks to reduce downtime and ensure continuous operations.
- Enforce security procedures including access control, sealing trailers, and verifying carrier credentials to prevent theft and unauthorized access.
- Lead root cause analysis and continuous improvement initiatives (5S, Kaizen) for dock processes to increase throughput, reduce waste and improve safety metrics.
- Handle escalations from carriers, customers and internal stakeholders, providing timely communication and resolution plans to minimize service disruptions.
- Oversee specialty handling procedures for fragile, oversized, hazardous, or temperature-controlled products, ensuring staff are trained and PPE is provided.
- Monitor inventory flow at the dock interface, reconcile discrepancies with inventory control, and participate in cycle counts or inventory audits as required.
- Maintain effective communication with warehouse supervisors, inventory control, procurement and customer service to synchronize inbound/outbound activity and priorities.
Secondary Functions
- Support continuous improvement projects by collecting operational data, participating in Kaizen events, and piloting new dock technologies or process changes.
- Assist HR in recruiting, onboarding and performance management for dock personnel; document corrective actions and participate in disciplinary processes.
- Maintain spare parts, supplies, and PPE inventory for dock operations and coordinate procurement of consumables like straps, shrink wrap and pallets.
- Provide training on safe handling of hazardous materials and company-specific handling procedures; maintain training records and certifications for direct reports.
- Support seasonal planning by providing workload forecasts, headcount needs and equipment requirements to operations management.
- Participate in emergency response and spill containment procedures; act as an on-site incident commander when appropriate until higher-level support arrives.
- Assist with implementing and validating WMS and dock automation solutions, providing subject matter expertise on practical dock workflows.
- Coordinate with maintenance to schedule dock bay repairs, dock house utilities and lighting checks to maintain a safe and efficient work environment.
- Audit carrier performance against SLAs and provide feedback to carrier partners and procurement to optimize routing and cost.
- Serve as backup for related functions such as shipping coordinator tasks, gatehouse verification, or yard checks during peak periods.
Required Skills & Competencies
Hard Skills (Technical)
- Forklift operation and operator certification (sit-down, reach truck, counterbalance, pallet jack) with proven hands-on experience.
- Proficiency with Warehouse Management Systems (WMS) such as Manhattan, HighJump, JDA, Oracle WMS or similar; comfortable with RF scanning and mobile devices.
- Strong knowledge of OSHA regulations, DOT rules, FMCSA guidance and safe materials handling practices.
- Experience with shipment documentation practices including bills of lading (BOL), manifests, packing lists and commercial invoices.
- Familiarity with ERP systems (SAP, Oracle, Microsoft Dynamics) for interfacing shipping/receiving transactions and inventory reconciliation.

Experience Requirements
Typical Experience Range: 3–7 years of progressive experience in shipping/receiving, dock operations, or warehouse supervision.
