HealthcareClinical SupportMedical Assistant

🎯 Role Definition

A Doctor’s Assistant (also known as a Clinical Assistant or Medical Assistant for physicians) provides direct patient care and clinical support to physicians, nurse practitioners, and the care team. This role is responsible for patient intake, clinical procedures (vital signs, injections, specimen collection), documentation in EHR systems, basic diagnostic testing, care coordination, and helping maintain clinical workflow and compliance with regulatory standards (HIPAA, infection control). Ideal candidates combine clinical competency (phlebotomy, EKG, medication administration) with strong communication, organization, and patient-focused service delivery.

Typical Career Path

Entry Point From:

  • Medical Assistant (MA) or Certified Medical Assistant (CMA)
  • Emergency Medical Technician (EMT) or Patient Care Technician
  • Licensed Practical Nurse (LPN) transitioning to outpatient clinic roles

Advancement To:

  • Lead Medical Assistant / Clinical Lead
  • Clinic Manager / Practice Manager
  • Registered Nurse (RN) or Physician Assistant (PA) with further education

Lateral Moves:

  • Patient Care Coordinator / Care Navigator
  • Medical Office Manager
  • Triage Nurse / Occupational Health Specialist

Core Responsibilities

Primary Functions

  • Perform patient intake by greeting patients, verifying identity, collecting current medical history and medication lists, and documenting chief complaints and past medical history accurately in the electronic health record (EHR) to ensure the physician has a comprehensive pre-visit summary.
  • Measure and record vital signs (blood pressure, pulse, respiration, temperature, oxygen saturation) and document changes or abnormalities for provider review; escalate urgent findings based on standing triage protocols.
  • Prepare examination rooms and clinical instruments to physician standards, maintain clean and safe workspaces, follow sterile technique and infection control policies, and manage instrument sterilization or single-use supplies.
  • Collect clinical specimens (blood draws/phlebotomy, urine, swabs) following lab and safety protocols, label and ship specimens according to lab instructions, and follow up on specimen tracking and results routing.
  • Administer medications and immunizations (intramuscular, subcutaneous, intradermal) under provider orders or standing protocols, verify patient identity and allergies, and document lot numbers and vaccine administration information in the EHR and vaccine registries.
  • Assist physicians with examinations and minor clinical procedures (wound care, suture removal, dressing changes, wound irrigation, cryotherapy, ear irrigations) by positioning patients, passing instruments, and providing procedural support to optimize efficiency and patient comfort.
  • Perform point-of-care testing (rapid strep, glucose, pregnancy tests, influenza, INR, urinalysis) and basic diagnostic testing (12-lead EKG acquisition) with accurate recording of results and immediate communication of critical values to the provider.
  • Triage incoming patient phone calls, messages, and refill requests; follow triage protocols to assess urgency, provide patient education, schedule appointments, escalate to provider when indicated, and document all communications in the EHR.
  • Prepare and update patient charts, enter accurate clinical notes, medication reconciliation, review allergies, and code visit details (basic familiarity with ICD-10 / CPT) so documentation supports quality care and billing.
  • Facilitate pre-visit planning and pre-procedure checklists including obtaining prior authorizations, insurance verification, and pre-visit labs/imaging orders to reduce no-shows and ensure readiness for visits and procedures.
  • Manage referrals and care coordination by initiating specialty referrals, sending records, tracking acceptance/appointment dates, and following up to ensure continuity of care for chronic disease management.
  • Educate patients and caregivers on care plans, medication instructions, post-procedure wound care, disease management (diabetes, hypertension, asthma), and preventive care recommendations using teach-back methods to confirm understanding.
  • Support chronic disease programs through scheduled follow-up calls, blood pressure/weight monitoring, medication adherence checks, and documentation of metrics for quality reporting (HEDIS, PQRS-style measures).
  • Maintain inventory of clinical supplies, medication stocks, vaccines (cold chain procedures), and personal protective equipment by performing periodic audits, placing supply orders, and reconciling invoices with clinic needs.
  • Ensure compliance with HIPAA and confidentiality requirements by safeguarding patient information, controlling access to charts, and following clinic policies for secure communications and record-keeping.
  • Assist with minor administrative tasks tied to clinical workflows: rooming patients, managing check-in/check-out, scheduling next appointments, and coordinating same-day referrals to optimize clinic throughput.
  • Perform basic wound photography and documentation when needed for medical records, insurance purposes, and provider communication, ensuring images are securely stored in the EHR.
  • Support telemedicine visits by preparing patients for virtual encounters, documenting relevant history, initiating telehealth connections, verifying technology, and uploading patient-provided data or home-monitoring metrics.
  • Participate in quality improvement and infection control initiatives by collecting data (hand hygiene audits, vaccination rates), implementing corrective actions, and reporting to clinical leadership.
  • Provide emergency support—initiate BLS/first aid, apply oxygen, start basic airway support or CPR per training, and quickly prepare the room and staff for provider-led emergency interventions.
  • Train new clinical staff on clinic workflows, EHR templates, supply management, and safety procedures; provide constructive feedback and help maintain a consistent standard of care across shifts.
  • Support provider documentation efficiency by building and maintaining EHR templates, order sets, and favorites to reduce provider clicks, improve documentation accuracy, and streamline coding capture.
  • Document and monitor patient outcomes and follow-up test results, alert providers to abnormal results, and close the loop with patients after interventions or tests to ensure care plans are implemented.

Secondary Functions

  • Coordinate with laboratory and imaging departments to facilitate timely results, schedule diagnostic tests, and assist in resolving discrepancies between orders and performed studies.
  • Participate in staff huddles and daily operational meetings to communicate patient flow issues, capacity constraints, and upcoming procedure requirements.
  • Contribute to patient satisfaction initiatives by soliciting and documenting feedback, implementing simple improvements, and reporting trends to clinic leadership.
  • Support billing and coding teams by ensuring clinical documentation contains the necessary elements to justify level of service and procedure codes.
  • Assist with basic supply chain tasks such as receiving shipments, checking expiration dates, returning defective items, and reconciling purchase orders with inventory.
  • Support outreach and population health work by contacting patients for preventative screenings, recalls, immunization campaigns, and chronic care reminders.
  • Maintain continuing education records, certifications, and mandatory training compliance; coordinate with HR or practice manager to schedule required renewals.
  • Help implement and test new EHR features, workflow changes, or clinical decision support tools by providing user feedback and training colleagues.
