Core Responsibilities

Primary Functions

  • Lead the end-to-end project coordination for e-learning initiatives, including project planning, milestone definition, resource allocation, timeline tracking and risk mitigation to ensure delivery of SCORM/xAPI-compliant courses on schedule and within budget.
  • Serve as the primary point of contact between business stakeholders, subject-matter experts (SMEs), instructional designers, multimedia developers and external vendors to define scope, functional requirements and expected learning outcomes for each course or program.
  • Create and maintain detailed project documentation: project charters, scope statements, work breakdown structures, Gantt timelines, status reports, change logs and post-implementation retrospectives to support transparency and continuous improvement.
  • Manage LMS implementations and course deployments across platforms (Moodle, Blackboard, Canvas, Workday Learning, Cornerstone, SuccessFactors LMS), including user roles & permissions, course publishing, enrollment management and rollout scheduling.
  • Coordinate the instructional design lifecycle by facilitating kickoff workshops, ensuring alignment to ADDIE or Agile design frameworks, reviewing storyboards, reviewing learning objectives and approving final content prior to development and publication.
  • Oversee authoring tool workflows and asset tracking for development in Articulate Storyline 360, Rise, Adobe Captivate, Elucidat or similar tools; ensure version control and maintain a central repository for source files and media assets.
  • Conduct quality assurance and UAT for digital learning assets: review SCORM packages, check tracking of completion and assessment data, validate responsive behavior on desktop and mobile, and ensure accessibility (WCAG 2.1) and corporate branding compliance.
  • Manage vendor and contractor relationships for multimedia production, voiceover recording, video editing, animation, and localization; negotiate SOWs, track deliverables, enforce SLAs and approve invoices tied to milestone acceptance.
  • Build and maintain strong stakeholder engagement plans: communicate project status, escalate issues, align expectations, collect SME feedback and manage competing priorities across L&D, HR, Compliance and business units.
  • Coordinate course localization and translation efforts, working with vendors and internal reviewers to ensure cultural and technical fidelity of localized e-learning content.
  • Establish testing protocols and acceptance criteria for e-learning releases, coordinate regression testing, gather UAT feedback from pilot users and implement necessary fixes prior to general availability.
  • Monitor and report on project KPIs and learning metrics (completion rates, assessment scores, time-to-complete, learner satisfaction, knowledge retention indicators) to measure program effectiveness and inform iterative improvements.
  • Maintain risk registers and contingency plans for technical, content and resourcing risks (LMS downtime, SCORM packaging errors, SME availability) and proactively manage escalation paths.
  • Facilitate sprint planning and agile ceremonies where applicable, helping prioritize backlog items for continuous delivery of microlearning modules and iterative course improvements.
  • Create and deliver stakeholder-facing launch communications, including release notes, learner guides, internal support documentation and instructor/facilitator briefings to maximize adoption and reduce support requests.
  • Implement and maintain metadata standards, taxonomy and course catalog governance to ensure discoverability, tagging consistency and effective learning pathways across the LMS.
  • Coordinate data integrations between LMS, HRIS, CRM and analytics platforms to enable automated enrollment, completion reporting and learning record store (LRS) xAPI tracking.
  • Provide first- and second-line support for production issues related to course access, content playback, quiz reporting and certificate generation; triage incidents, coordinate technical fixes and document root causes.
  • Maintain compliance and audit readiness for mandated training programs (regulatory, security, ethics), ensuring version control, learner attestations and accurate records for internal or external audits.
  • Drive continuous process improvement: standardize e-learning templates, streamline review cycles, refine acceptance workflows and implement productivity tools to accelerate time-to-launch while maintaining quality.
  • Mentor and coordinate junior project staff, contractors and cross-functional contributors; run training sessions on project processes, authoring tools and LMS best practices to raise team capability.

  • Configure and maintain dashboards and automated reports in the LMS and BI tools for learning leads and HR partners to enable data-driven decision making.
  • Support ad-hoc requests for learning analytics, extracting completion data, assessment results and xAPI statements to answer stakeholder questions and guide content updates.
  • Contribute to learning operations strategy: recommend tooling improvements, propose catalog rationalization and participate in vendor selection and procurement for e-learning platforms and content libraries.
  • Collaborate with Compliance and Legal teams to validate course content against policy, ensure accessibility and maintain records of required compliance training completions.
  • Assist in budget tracking for learning programs, forecasting resource needs, and preparing cost breakdowns for content development and vendor services.
  • Organize and facilitate cross-functional workshops to validate learning outcomes, outline performance support assets and identify opportunities for blended learning.
  • Maintain content production calendars and resource rosters, coordinating freelance and internal resources to keep development velocity steady during peak release periods.
  • Monitor industry trends in instructional technologies (microlearning, AI-driven personalization, adaptive learning) and propose pilot projects to test new approaches or platforms.
  • Coordinate pilot user groups and beta testing cycles; capture detailed feedback and prioritize fixes in collaboration with the development team.
  • Document standard operating procedures (SOPs) for course submission, review cycles, publishing and retirement processes to ensure consistency and institutional knowledge retention.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's degree in Instructional Design, Education, Instructional Technology, Project Management, Human Resources, Communications or a related field.

Preferred Education:

  • Bachelor’s or Master’s in Instructional Design, Educational Technology, Learning Sciences, or Project Management certification (PMP, PRINCE2, Certified ScrumMaster).
  • Certifications in LMS administration or in authoring tools (Articulate Certified, Adobe Captivate certification) and a certification or coursework in accessibility/WCAG.
