Core Responsibilities

Primary Functions

  • Manage and oversee the end-to-end electronic filing process for a high volume of multi-state and local sales, use, and property tax returns, ensuring timely, accurate, and complete submission ahead of statutory deadlines.
  • Perform detailed data extraction, manipulation, and reconciliation of tax-related data from various source systems (ERP, e-commerce platforms, billing systems) to ensure data integrity for tax return preparation.
  • Prepare and meticulously review complex indirect tax returns, including sales & use, gross receipts, and property tax, using specialized tax compliance software.
  • Act as the primary administrator for our tax calculation engine (e.g., Vertex, Avalara), including system configuration, rate updates, taxability rule maintenance, and exemption certificate management.
  • Investigate and resolve tax-related discrepancies between the general ledger, sub-ledgers, and tax software reports, preparing detailed journal entries for adjustments as required.
  • Serve as the main point of contact for state and local tax authorities, professionally managing and responding to all e-filing notices, inquiries, and audit requests in a timely manner.
  • Monitor and research changes in state and local tax laws, regulations, and e-filing requirements to ensure the company remains in full compliance across all jurisdictions.
  • Process and coordinate the timely payment of all tax liabilities through various electronic payment methods, ensuring accurate funding and documentation.
  • Maintain and update the company’s tax calendar to track all compliance deadlines, payments, and reporting obligations meticulously.
  • Assist in the monthly reconciliation of tax liability accounts, providing detailed analysis and supporting schedules for month-end close processes.
  • Validate and manage customer exemption certificates, ensuring they are accurately loaded into the tax system and properly applied to transactions.
  • Generate and analyze periodic reports on tax accruals, payments, and filing statuses for management review and strategic decision-making.
  • Participate in system testing for tax software updates, patches, and ERP integrations to identify potential impacts on tax calculation and reporting processes.
  • Develop and maintain comprehensive documentation for all tax processes, procedures, and system configurations to ensure consistency and facilitate knowledge sharing.
  • Support the integration of new business units or product lines into existing tax systems and processes, ensuring a smooth and compliant transition.

Secondary Functions

  • Support ad-hoc data requests and exploratory data analysis to assist with tax planning, audit defense, and forecasting.
  • Contribute to the organization's tax technology strategy and roadmap by identifying opportunities for automation and process improvement.
  • Collaborate with IT and business units to translate complex tax needs and compliance requirements into actionable engineering or system configuration tasks.
  • Participate in sprint planning and agile ceremonies within the finance and technology teams for projects impacting tax systems.
  • Provide training and support to junior staff and other departments on tax compliance procedures and software usage.
  • Assist with special projects related to tax process automation, system implementations, and compliance risk mitigation.

Required Skills & Competencies

Hard Skills (Technical)

  • Tax Software Proficiency: Hands-on experience with major tax compliance and calculation software such as Vertex, Avalara, Sovos, or OneSource Indirect Tax.
  • ERP System Experience: Strong working knowledge of large-scale ERP systems like SAP, Oracle, NetSuite, or Microsoft Dynamics, particularly the finance and order-to-cash modules.
  • Advanced Microsoft Excel: Mastery of Excel for data manipulation, including pivot tables, VLOOKUP/XLOOKUP, SUMIFs, index/match, and complex formula creation.
  • Tax Compliance Knowledge: Solid understanding of multi-state sales and use tax principles, taxability rules, and electronic filing procedures.
  • Data Reconciliation: Proven ability to reconcile large datasets from disparate sources and identify root causes of variances.
  • SQL/Querying Skills: Basic to intermediate ability to write SQL queries for data extraction and analysis is highly desirable.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's Degree from an accredited college or university.

Experience Requirements

Typical Experience Range:

  • Experience within a large corporate tax department or a public accounting firm (Big 4 or national) is highly preferred. Direct, hands-on experience managing a high volume of multi-state sales and use tax returns is a strong plus.
