Primary Functions

  • Administer and maintain the Employee Self-Service portal and HRIS configurations (pages, menus, forms, workflows, security roles) to ensure accurate employee access to payslips, personal data, benefits enrollment and time-off requests.
  • Provide direct Tier 1–2 support for employees and managers via ticketing systems (ServiceNow/Jira), email and phone, diagnosing ESS issues, resolving incidents, escalating complex problems to HRIS, Payroll or IT as needed.
  • Configure and maintain role-based access controls (RBAC) and security groups for ESS functionality, onboarding new roles and removing access during offboarding to meet least-privilege policies.
  • Manage and troubleshoot single sign-on (SSO), multi-factor authentication (MFA) and identity provisioning (Active Directory/LDAP) integrations to ensure seamless and secure employee login to the ESS portal.
  • Own ESS-related change requests and system configuration tasks, executing changes in dev/test environments and promoting validated configurations to production following change control processes.
  • Lead and coordinate user acceptance testing (UAT) for ESS updates, patches, and major HRIS releases; create test plans, organize test scripts, recruit users, validate defects and track remediation.
  • Configure and maintain ESS transactional processes, including benefits elections, personal information updates, life events, direct deposit changes and voluntary deductions, ensuring data integrity and auditability.
  • Manage integrations between ESS and Payroll, Time & Attendance, Benefits vendors, and third-party systems via APIs, flat-file feeds or middleware; monitor scheduled jobs, file transfers, and reconciliation processes.
  • Prepare, maintain and distribute operational reports, audits and dashboards (Power BI, BusinessObjects, HR reports) on ESS usage, access logs, enrolment metrics, ticket trends and data accuracy for HR leadership.
  • Reconcile ESS-entered employee data with payroll and benefits systems to identify and resolve mismatches prior to pay runs and benefits open enrollment deadlines.
  • Create and maintain detailed documentation, SOPs, job aids and knowledge base articles for employees, managers and HR partners to increase self-service adoption and reduce support volume.
  • Design and deliver training sessions, onboarding modules and targeted communications to drive ESS adoption, explain new capabilities and communicate deadlines for enrollments and change windows.
  • Monitor ESS system performance, availability and batch jobs; liaise with IT and vendors to resolve outages, performance degradation and capacity issues with urgency to minimize business impact.
  • Conduct ESS data audits and periodic compliance reviews to ensure PII protection, regulatory compliance (GDPR, state privacy laws) and alignment with HR policies; remediate findings in coordination with HR and Legal.
  • Triage, log and manage incidents and enhancement requests; prioritize backlog items, gather business requirements and partner with HRIS developers or vendors to deliver solutions.
  • Participate in HRIS implementation and upgrade projects as the ESS subject-matter-expert: configure modules, map business processes, lead data conversion efforts and validate cutover activities.
  • Create and maintain ESS templates, e-forms and smart workflows that automate approvals and routing for manager and HR sign-offs, improving cycle time and audit trails.
  • Coordinate with Benefits, Payroll and Talent teams to support annual open enrollment, new hire processing, life event handling, and employee communications tied to ESS functionality.
  • Implement process improvements and operational automation to reduce manual HR workload (for example, auto-enrollment, bulk updates, scheduled reconciliations), measure ROI and report savings.
  • Manage vendor relationships for ESS modules and third-party integrations, negotiate support SLAs, track vendor tickets, ensure timely remediation and participate in vendor product roadmaps.
  • Maintain data backups, archival procedures and disaster recovery runbooks for ESS-critical components; verify backup integrity and participate in DR tests.
  • Analyze user behavior and portal analytics to identify friction points, propose UX enhancements and prioritize feature requests that increase self-service completion rates.
  • Ensure accessibility and mobile responsiveness of the ESS portal; test and troubleshoot mobile app experiences and coordinate releases for mobile accessibility improvements.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor's degree in Human Resources, Information Systems, Business Administration, Computer Science, or a related field; or equivalent professional experience.
