Core Responsibilities
Primary Functions
- Manage and meticulously maintain an intensely busy and constantly fluctuating calendar, scheduling meetings, calls, and appointments across multiple international time zones.
- Coordinate complex and detailed domestic and international travel arrangements, including flights, hotels, ground transportation, and the preparation of comprehensive travel itineraries.
- Serve as the primary gatekeeper, answering and screening a high volume of phone calls and emails with professionalism, routing correspondence, and taking messages with precision.
- Provide in-depth script coverage, which includes reading scripts, books, and other submitted materials, and writing a detailed synopsis and thoughtful analysis.
- Prepare, submit, and track expense reports, check requests, and invoices with accuracy and adherence to company policy.
- Act as the primary liaison and point of contact between the executive and internal departments, A-list talent, agents, managers, and studio executives, maintaining a high degree of professionalism.
- Handle highly sensitive and confidential information related to contracts, projects in development, and personal matters with the utmost discretion and integrity.
- Prepare and assemble materials and presentations for critical meetings, including agendas, research binders, pitch decks, and creative look-books.
- Take detailed and accurate notes during key creative, development, and production meetings, and then transcribe and distribute meeting minutes to relevant stakeholders.
- Create, manage, and update project and talent tracking grids, ensuring all information on projects in development, production, and post-production is current.
- Facilitate the flow and execution of legal documents, including talent agreements, NDAs, and option agreements, ensuring all parties sign and documents are filed correctly.
Secondary Functions
- Support ad-hoc research requests on industry trends, emerging talent, intellectual property, and competitive analysis to support creative and strategic initiatives.
- Contribute to the organization's operational efficiency by suggesting and implementing improvements to administrative processes and workflows.
- Collaborate with various business units, including Legal, Finance, and Marketing, to ensure seamless communication and project alignment.
- Participate in team meetings and brainstorming sessions, offering insights and contributing to the creative development process when appropriate.
