Core Responsibilities

Primary Functions

  • Manage and meticulously maintain an intensely busy and constantly fluctuating calendar, scheduling meetings, calls, and appointments across multiple international time zones.
  • Coordinate complex and detailed domestic and international travel arrangements, including flights, hotels, ground transportation, and the preparation of comprehensive travel itineraries.
  • Serve as the primary gatekeeper, answering and screening a high volume of phone calls and emails with professionalism, routing correspondence, and taking messages with precision.
  • Provide in-depth script coverage, which includes reading scripts, books, and other submitted materials, and writing a detailed synopsis and thoughtful analysis.
  • Prepare, submit, and track expense reports, check requests, and invoices with accuracy and adherence to company policy.
  • Act as the primary liaison and point of contact between the executive and internal departments, A-list talent, agents, managers, and studio executives, maintaining a high degree of professionalism.
  • Handle highly sensitive and confidential information related to contracts, projects in development, and personal matters with the utmost discretion and integrity.
  • Prepare and assemble materials and presentations for critical meetings, including agendas, research binders, pitch decks, and creative look-books.
  • Take detailed and accurate notes during key creative, development, and production meetings, and then transcribe and distribute meeting minutes to relevant stakeholders.
  • Create, manage, and update project and talent tracking grids, ensuring all information on projects in development, production, and post-production is current.
  • Facilitate the flow and execution of legal documents, including talent agreements, NDAs, and option agreements, ensuring all parties sign and documents are filed correctly.

Secondary Functions

  • Support ad-hoc research requests on industry trends, emerging talent, intellectual property, and competitive analysis to support creative and strategic initiatives.
  • Contribute to the organization's operational efficiency by suggesting and implementing improvements to administrative processes and workflows.
  • Collaborate with various business units, including Legal, Finance, and Marketing, to ensure seamless communication and project alignment.
  • Participate in team meetings and brainstorming sessions, offering insights and contributing to the creative development process when appropriate.
  • Assist in planning and coordinating logistics for special events, such as premieres, film festival appearances, press junkets, and client engagements.
  • Manage and maintain extensive databases of industry contacts, including agents, managers, writers, directors, and other key personnel.
  • Provide personal assistance and run errands for the executive as needed to ensure their day runs smoothly and without interruption.
  • Update and maintain organized digital and physical filing systems for scripts, contracts, correspondence, and other critical documentation.
  • Assist with the onboarding process for new team members, interns, or project-based staff by providing necessary resources and information.

Required Skills & Competencies

Hard Skills (Technical)

  • Microsoft Office & Google Workspace Mastery: Expert-level proficiency in Outlook, Word, Excel, PowerPoint, and their Google Suite equivalents (Gmail, Calendar, Docs, Sheets, Slides).
  • Scheduling & Calendar Management: Proven ability to manage complex, multi-time-zone calendars for one or more high-level individuals.
  • Script Coverage: Demonstrable skill in reading, analyzing, and writing concise, insightful coverage for screenplays and manuscripts.
  • Travel Coordination: Experience booking intricate domestic and international travel, including flights, hotels, car services, and managing loyalty programs.
  • Expense Reporting: Familiarity with expense management software (like Concur) and processes for accurate and timely submission.
  • Industry Software Knowledge: Preferred experience with Final Draft, Movie Magic Budgeting/Scheduling, FileMaker Pro, or similar industry-standard software.

Education & Experience

Educational Background

Minimum Education:

Experience Requirements

Typical Experience Range: 1-3 years of experience in an administrative or support role.

Preferred: At least one year of experience working at a talent agency, management company, production company, or studio is highly preferred. A demonstrated passion for and knowledge of the entertainment industry is essential.
