Core Responsibilities
Primary Functions
- Lead, mentor, and manage the entire estimating department, including resource allocation, training, and performance evaluations to cultivate a high-performing team.
- Oversee the preparation and submission of comprehensive bid proposals for a diverse range of projects, ensuring accuracy, competitiveness, and alignment with company profitability goals.
- Direct the detailed analysis of project plans, specifications, and contract documents to determine the overall scope of work and required project deliverables.

- Perform and manage detailed quantity take-offs for all trade disciplines, from civil and structural to MEP (Mechanical, Electrical, Plumbing) and finishes.
- Establish and maintain strong relationships with subcontractors, vendors, and suppliers to ensure a robust network for competitive bidding and material pricing.
- Lead bid review meetings with senior management and project teams to present the estimate, discuss strategy, and secure final approval before submission.
- Develop and maintain a comprehensive historical cost database, analyzing data from completed projects to improve the accuracy of future estimates and pricing models.
- Champion value engineering efforts by collaborating with design teams, owners, and project managers to identify cost-saving alternatives without compromising quality or intent.
- Prepare detailed scope of work documents and bid packages for solicitation from subcontractors and suppliers, ensuring clarity and completeness.
- Manage the subcontractor/vendor pre-qualification process and conduct thorough scope reviews (scoping) to ensure all bids received are complete and comparable.
- Provide conceptual, schematic, and design development estimates to support clients and design teams during the early preconstruction phases of a project.
- Collaborate closely with the operations and project management teams during the project hand-off phase to ensure a seamless transition from preconstruction to construction.
- Present bid proposals and cost estimates directly to clients, architects, and stakeholders, clearly articulating the basis of the estimate and answering detailed questions.
- Stay current with industry trends, material costs, labor rates, and construction means and methods to ensure estimates reflect current market conditions.
- Utilize and manage estimating software (e.g., On-Screen Takeoff, AccuBid, Sage Timberline) to streamline the estimating process and ensure data integrity.
- Prepare detailed cost breakdowns, general conditions, and project schedules to support the overall bid package.
- Review and negotiate subcontractor agreements and purchase orders in collaboration with the project management team.
- Participate in business development activities, including attending industry events and client meetings, to help secure new project opportunities.
- Oversee the RFI (Request for Information) process during the bidding phase, clarifying ambiguities in the project documents with the design team.
- Develop and track key performance indicators (KPIs) for the estimating department, such as bid-hit ratio and estimate accuracy, and report findings to executive leadership.
