Core Responsibilities

Primary Functions

  • Analyze and interpret detailed project drawings, architectural blueprints, specifications, and other documentation to accurately prepare comprehensive quantity take-offs for all materials, labor, and equipment.
  • Develop, prepare, and formalize detailed cost estimates, bid packages, and proposals for submission, ensuring all required information is included and presented professionally and accurately.
  • Solicit, review, and critically evaluate subcontractor and vendor proposals and quotes to ensure they align with project scope, specifications, and budgetary constraints.
  • Build and maintain strong relationships with subcontractors, suppliers, and key vendors to ensure a reliable network for competitive pricing and resource availability.
  • Identify and quantify potential cost uncertainties, risks, and opportunities, incorporating appropriate contingency and escalation factors into the final estimate.
  • Perform comprehensive scope reviews and "page-turn" meetings with internal teams and external stakeholders to ensure a complete understanding of project requirements.
  • Develop and maintain a robust historical cost database by tracking actual project costs against initial estimates, enabling more precise future bidding and trend analysis.
  • Collaborate closely with project managers, engineers, and designers during the pre-construction phase to identify opportunities for value engineering and cost-saving alternatives without compromising quality.
  • Prepare preliminary budget estimates and feasibility studies for clients and the business development team during the early stages of project consideration.
  • Attend pre-bid meetings and site visits to gather essential information about the job site conditions, access, and other factors that may influence project costs.
  • Create and manage a detailed scope of work breakdowns and clarifications to be included with bid submissions, minimizing ambiguity and potential for disputes.
  • Utilize industry-standard estimating software to perform digital take-offs and assemble detailed, organized, and transparent cost reports.
  • Prepare and present estimate summaries and variance reports to senior management, clearly articulating the assumptions, risks, and strategic approach behind the bid.
  • Develop project-specific labor rates and productivity factors based on historical data, market conditions, and unique project complexities.
  • Review and analyze project schedules to understand the impact of timelines and phasing on overall project cost and resource allocation.
  • Manage the entire bid-day process, ensuring all subcontractor pricing is received, evaluated, and incorporated into the final bid in a timely manner.
  • Assist in the negotiation of contracts and change orders by providing detailed cost breakdowns and justification for proposed pricing adjustments.
  • Conduct post-project cost reviews to reconcile final costs with the original estimate, identifying lessons learned to improve the accuracy of future estimates.
  • Stay current with industry trends, new construction methods, material costs, and regional economic impacts to ensure estimates remain competitive and relevant.
  • Participate in the project hand-off meeting, effectively communicating the estimate details, project scope, and key assumptions to the project execution team.

  • Contribute to the continuous improvement of the estimating department's processes, tools, and standardized procedures.

Required Skills & Competencies

Hard Skills (Technical)

  • Estimating Software Proficiency: Expertise in tools such as Bluebeam Revu, On-Screen Takeoff (OST), Accubid, CostX, or Sage Estimating.
  • Advanced Excel Skills: Mastery of complex formulas, pivot tables, VLOOKUPs, and data modeling for cost analysis and reporting.
  • Blueprint & Specification Interpretation: Strong ability to read and decipher complex construction drawings, technical specifications, and contract documents.
  • Quantity Take-Off (QTO): Proven experience performing detailed material, labor, and equipment take-offs across multiple construction divisions.
  • Knowledge of Construction Means & Methods: Deep understanding of construction processes, material applications, building codes, and sequencing.
  • Cost Database Management: Experience in creating, managing, and utilizing historical cost data to inform future estimates.
  • Familiarity with Project Scheduling: Basic understanding of scheduling software like MS Project or Primavera P6 and its impact on cost.

Education & Experience

Educational Background

Minimum Education:

  • An Associate's degree or a combination of relevant technical training and extensive experience.

Preferred Education:

  • Bachelor’s Degree in a relevant field. Professional certification from organizations like the American Society of Professional Estimators (ASPE) or AACE International is highly regarded.

Typical Experience Range:

  • 3-7 years of direct experience in cost estimating within the commercial construction, industrial, or manufacturing sectors.
