Core Responsibilities

Primary Functions

  • Thoroughly review and interpret architectural blueprints, engineering drawings, and project specifications to understand the full scope of work.
  • Perform detailed quantity take-offs for materials, labor, and equipment required for a project using digital software and manual methods.
  • Prepare comprehensive and accurate cost estimates for materials, labor, equipment, subcontractor services, and other associated project costs.
  • Solicit, collect, and analyze quotes from suppliers, vendors, and subcontractors to ensure competitive and accurate pricing for bid proposals.
  • Utilize and maintain estimating software (such as Bluebeam, Planswift, On-Screen Takeoff, or Accubid) to generate precise take-offs and cost summaries.
  • Collaborate closely with project managers, engineers, and sales teams to develop a clear understanding of project requirements and bid strategy.
  • Prepare and assemble formal bid packages, proposals, and presentation documents for submission to clients, ensuring all required information is included and professionally presented.
  • Maintain and update the master cost database with current pricing for materials, labor rates, and subcontractor costs to ensure future estimate accuracy.
  • Assist in identifying potential project risks, such as logistical challenges or material availability issues, and factor them into the cost estimate.
  • Participate in pre-bid meetings and site visits to gather critical information about project conditions and requirements.
  • Manage bid calendars and deadlines, ensuring all proposals are completed and submitted in a timely manner.
  • Develop detailed scopes of work for various trades to assist in obtaining accurate subcontractor and supplier pricing.
  • Prepare cost breakdowns and detailed reports to support the final bid price and assist in post-bid negotiations.
  • Assist senior estimators with pricing for change orders and project addendums on active construction projects.
  • Maintain organized and complete records of all bid documents, correspondence, quotes, and calculations for each project.
  • Build and nurture strong professional relationships with key suppliers, subcontractors, and industry partners.
  • Analyze historical project data and cost information to benchmark and improve the accuracy of future estimates.
  • Communicate effectively with clients and internal stakeholders to clarify technical specifications and scope discrepancies.
  • Support the handover of successfully bid projects to the project management team, providing a detailed breakdown of the estimate and project scope.
  • Prepare preliminary project schedules and logistics plans to be included with the estimate and proposal.
  • Track and compare estimated costs versus actual project costs to refine estimating formulas and processes.

Secondary Functions

  • Support ad-hoc requests for cost analysis and historical project data.

  • Advanced skills in Microsoft Excel, including formulas, pivot tables, and data manipulation.
  • Ability to read, understand, and interpret construction blueprints, schematics, and technical specifications.
  • Strong mathematical and analytical skills for performing accurate calculations and cost analysis.
  • Experience in preparing detailed quantity take-offs for various construction disciplines.
  • Knowledge of construction means, methods, materials, and industry standards.
  • Familiarity with preparing and submitting formal bid packages and proposals.
  • Experience with project management or CRM software.
