Core Responsibilities

Primary Functions

  • Manage end-to-end logistical coordination for all events, including venue sourcing, contract negotiation, catering arrangements, audiovisual (AV) setup, and transportation.
  • Serve as the primary point of contact for external vendors, suppliers, and partners, fostering strong relationships and ensuring all service level agreements are met.
  • Meticulously track event budgets, process invoices, manage expenses, and assist with financial reconciliation to ensure events are delivered within financial constraints.
  • Oversee the entire attendee registration process, from setting up online portals to managing inquiries, processing payments, and distributing confirmations and credentials.
    v-Provide comprehensive on-site support during events, acting as a central point for issue resolution, coordinating staff, and ensuring a positive guest experience from start to finish.
  • Develop and maintain detailed project plans, event timelines, and production schedules, ensuring all stakeholders are aware of key deadlines and responsibilities.
  • Coordinate the design, production, and distribution of all event-related materials, including signage, name badges, promotional collateral, and delegate packs.
  • Compile and analyze post-event data, including attendance figures, budget actuals, and attendee feedback, to create comprehensive reports for future event improvement.
  • Maintain a central and up-to-date master calendar of all company events, meetings, and key dates, proactively identifying potential conflicts.
  • Liaise effectively with internal stakeholders, including Marketing, Sales, PR, and leadership teams, to ensure event objectives are aligned with business goals.
  • Handle all pre-event and on-site attendee inquiries with a high level of professionalism and customer service, providing timely and accurate information.
  • Arrange and manage travel and accommodation logistics for speakers, VIP guests, and internal staff attending events.
  • Research, source, and secure contracts with speakers, entertainers, and facilitators to enhance the event program and attendee engagement.
  • Ensure all events comply with relevant health, safety, and accessibility regulations, conducting risk assessments and implementing necessary protocols.
  • Utilize and manage event management software platforms (e.g., Cvent, Bizzabo, Eventbrite) for registration, communication, and reporting.
  • Support the planning and execution of virtual and hybrid events, managing digital platforms, coordinating virtual speakers, and engaging online audiences.
  • Manage the inventory of event-related supplies, equipment, and promotional materials, overseeing shipping and logistics to and from event venues.

Secondary Functions

  • Process and track event-related invoices, purchase orders, and expense reports to ensure timely and accurate financial reconciliation.
  • Assist in the creation and distribution of event communications, including email invitations, social media announcements, and post-event thank you notes.
  • Maintain and update the CRM database with attendee information and engagement data collected from events.
  • Schedule and coordinate internal and external planning meetings, preparing agendas, taking minutes, and tracking action items to ensure project momentum.

  • High proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for reporting, presentations, and communication.
  • Hands-on experience with event management software such as Cvent, Eventbrite, Bizzabo, or similar platforms.

  • Proven budget management and financial tracking skills, with the ability to manage expenses and process invoices accurately.
  • Competency with virtual event platforms, including Zoom, Microsoft Teams, and Webex, for hosting online meetings and webinars.
  • Basic knowledge of project management tools like Asana, Trello, or Monday.com to track tasks and timelines.
