An Event Agent is a front-line event operations and client-facing specialist responsible for planning, coordinating and executing corporate and public events from pre-production through post-event wrap-up. The Event Agent provides on-site management, vendor and venue liaison, attendee services, registration and ticketing oversight, sponsorship activation, and logistical problem solving to deliver seamless, on-brand experiences. Core Responsibilities

Primary Functions

  • Serve as the primary on-site contact for clients, vendors, venue staff, and sponsors, ensuring clear communication of the event timeline, expectations, and responsibilities from load-in through load-out.
  • Manage end-to-end attendee registration and ticketing operations, including online registration setup, check-in systems, badge printing, guest list reconciliation, and issue resolution during the event.
  • Develop, maintain, and execute detailed run-of-show documents and event timelines that coordinate programming, speaker schedules, AV cues, catering services, and vendor arrivals.
  • Coordinate vendor contracts, timelines, and deliverables; negotiate minor scope changes and ensure invoicing matches contracted services to protect budget and quality.
  • Oversee audiovisual and production coordination by liaising with technical teams, confirming equipment lists, running sound and lighting checks, and troubleshooting technical issues during live sessions.
  • Lead on-site staffing plans, including temporary hires, volunteers, and subcontractors; assign responsibilities, manage schedules, and provide training and briefings to ensure consistent service delivery.
  • Conduct venue walkthroughs and layout planning to optimize traffic flow, exhibitor placement, emergency egress, and accessibility, while ensuring compliance with venue rules and local regulations.
  • Manage on-site logistics such as load-in/load-out scheduling, freight coordination, storage oversight, and supplier staging to minimize downtime and avoid conflicts with venue operations.
  • Build and maintain strong client relationships by proactively sharing status updates, anticipating needs, and offering solutions to improve event outcomes and client satisfaction.
  • Execute sponsorship activation plans onsite, ensuring sponsor deliverables (booths, branding, speaking slots, VIPs) are fulfilled and sponsors receive timely post-event reporting and recognition.
  • Administer event budgets at the operational level by tracking expenses, processing purchase orders, submitting invoices for payment, and identifying cost-saving opportunities without sacrificing quality.
  • Deliver high-quality customer service to attendees, escalating and resolving complaints, accessibility requests, lost-and-found issues, and emergency situations with calm and rapid response.
  • Coordinate travel, accommodation, and transportation logistics for talent, speakers, VIPs, and production staff to ensure punctual arrivals and seamless transitions between event activities.
  • Manage on-site health, safety and crowd-control protocols by liaising with security teams, medical staff, and venue safety officers to ensure compliance with local ordinances and emergency plans.
  • Execute merchandising and point-of-sale operations for ticketed or retail events, including POS setup, reconciliation of sales, cash handling procedures, and reporting to finance.
  • Troubleshoot live-event problems (technical failures, schedule overruns, vendor no-shows) by making rapid decisions, coordinating stakeholders, and implementing contingency plans to minimize disruption.
  • Prepare and deliver daily and post-event operational reports, including attendance figures, revenue reconciliations, incident logs, and lessons-learned to inform future events.
  • Support marketing and promotion efforts by coordinating with digital teams on event pages, email blasts, social media promotions, and on-site signage to maximize attendance and brand consistency.
  • Oversee exhibitor services and floor management, including booth allocation, exhibitor move-in support, delivery of exhibitor kits, and enforcement of show rules and branding standards.
  • Collect and analyze attendee feedback and event KPIs (NPS, attendance vs. capacity, revenue per attendee) to recommend improvements and contribute to event performance reviews.
  • Ensure compliance with permits, licensing, insurance requirements, and vendor certifications (food handling, electrical) by preparing documentation and coordinating submissions with venues and local authorities.
  • Maintain accurate equipment and asset inventories, coordinating repairs, replacements, and rental returns to control costs and ensure operational readiness for subsequent events.

Secondary Functions

  • Assist in pre-event client proposals and scope definitions by providing operational estimates, equipment lists, and venue feasibility input to support sales and planning teams.
  • Support the creation and maintenance of event documentation, including floor plans, site maps, stage plots, technical riders, and vendor contact lists for cross-functional use.

  • Proficiency with CRM and sales tools (e.g., Salesforce, HubSpot) to manage client relationships and sponsorship pipelines.
  • Strong Microsoft Excel skills for budgeting, expense tracking, pivot tables, and basic data analysis; comfortable creating reconciliation reports.
  • Familiarity with audiovisual and production equipment, basic stage plots, microphone and mixer basics, and liaising with technical crews.

  • Basic project management skills with experience using tools such as Asana, Trello, Monday.com, or Jira to manage timelines and deliverables.

Educational Background

Minimum Education:
