Core Responsibilities
Primary Functions
- Provide comprehensive, hands-on support during live events, including managing registration desks, coordinating attendee flow, assisting speakers, and overseeing setup and breakdown to ensure a seamless experience.
- Act as a key liaison with vendors, venues, and suppliers; confirming bookings, negotiating minor contracts, processing payments, and ensuring all logistical requirements are met on time and within budget.

- Meticulously prepare, assemble, and organize essential event materials, including name badges, welcome packets, detailed agendas, speaker bios, and presentation handouts.
- Maintain and meticulously update event-specific databases, CRM records, and contact lists to ensure the accuracy of attendee, sponsor, and stakeholder information.
- Support financial administration by tracking event-related expenses against the budget, processing invoices, and preparing reconciliation reports for the Event Manager.
- Execute post-event follow-up activities, which include distributing thank-you communications, deploying attendee feedback surveys, and compiling testimonials for future marketing use.
- Schedule, attend, and document key planning meetings with internal and external stakeholders, diligently tracking action items and deadlines to ensure project alignment and progress.
- Serve as a friendly and professional point of contact for attendees, speakers, and sponsors, providing timely and accurate information before, during, and after the event.
- Coordinate complex travel and accommodation arrangements for event staff, keynote speakers, and VIP guests, ensuring a comfortable and hassle-free experience.
- Support the Event Manager in the development of detailed event concepts, comprehensive project timelines, and operational run-of-show documents.
- Manage the inventory of event supplies, branded merchandise, and technical equipment, coordinating rentals and purchases as necessary to meet event needs.
