Core Responsibilities

Primary Functions

  • Act as the first and primary point of contact for all event attendees, providing a warm, professional welcome and setting a positive tone for the event.

  • Manage on-site registration and check-in processes, including distributing name badges, event materials, and welcome packets with efficiency and accuracy.

  • Serve as a comprehensive information resource, expertly answering attendee questions regarding schedules, session locations, speaker details, and venue logistics.

  • Proactively anticipate guest needs and offer assistance before it is requested, ensuring a seamless and intuitive event experience.

  • Provide "white-glove" service to VIPs, speakers, and sponsors, including handling special requests, coordinating logistics, and ensuring their experience is exceptional.

  • Master the event's mobile app and other event technologies, assisting attendees with downloads, login issues, and navigation to enhance their digital experience.

  • Swiftly and calmly troubleshoot and resolve a wide range of attendee issues, from lost items and scheduling conflicts to directional confusion and special accommodation needs.

  • Liaise effectively between attendees and various event departments (A/V, catering, security, planning) to communicate needs and facilitate rapid solutions.

  • Monitor session rooms and common areas to ensure they are properly set up, clean, and functioning as intended, reporting any issues to the appropriate team.

  • Gather real-time attendee feedback and observe event flow, providing valuable insights to the event management team for immediate adjustments and future planning.

  • Assist speakers with pre-session needs, such as last-minute presentation checks, locating their session room, and acquiring necessary materials.

  • Maintain the professional appearance and organization of the registration desk, info booths, and all guest-facing concierge areas throughout the event.

  • Provide knowledgeable recommendations for local dining, transportation, and attractions to enhance the overall experience for out-of-town guests.

  • Manage access to and the overall experience within exclusive areas such as VIP lounges or green rooms, ensuring amenities are stocked and guests are comfortable.

  • Support the event operations team with light setup and breakdown of registration areas, signage, and directional wayfinding.

  • Escalate complex or sensitive issues to the Event Manager or designated lead with a full summary of the situation and attempted resolutions.

  • Coordinate with on-site vendors to ensure their services are delivered seamlessly and to the satisfaction of both the event organizers and attendees.

  • Circulate throughout the event space to maintain a visible, approachable presence, engaging with attendees to ensure they are having a positive experience.

  • Assist in the organized distribution of promotional items, gift bags, or "swag" to eligible attendees.

  • Conduct post-event follow-up tasks, such as consolidating feedback forms, logging lost-and-found items, and contributing to the final event report.

Secondary Functions

  • Assist the marketing team with capturing on-site testimonials and encouraging social media engagement from attendees.
  • Support the logistics team with ad-hoc inventory checks of event supplies, materials, and technology assets.
  • Contribute to updating and maintaining the event's internal knowledge base and FAQ documents for future use.
  • Participate in post-event debrief meetings, offering a frontline perspective on what worked well and areas for improvement.

Required Skills & Competencies

Hard Skills (Technical)

  • Event Management Software: Proficiency with platforms like Cvent, Bizzabo, or Eventbrite for registration and attendee management.
  • CRM Systems: Familiarity with using CRM software (e.g., Salesforce) to look up attendee information and log interactions.
  • Mobile Event Apps: Competency in navigating and troubleshooting proprietary mobile applications for event schedules and networking.
  • MS Office / Google Suite: Strong skills in using Outlook, Word, Excel, and their Google equivalents for communication and basic data tracking.
  • Basic A/V Troubleshooting: Ability to handle common technical issues, such as connecting laptops to projectors or assisting with microphones.
  • Registration & Badging Systems: Experience with on-demand badge printing hardware and associated software.

Education & Experience

Educational Background

Minimum Education:

  • High School Diploma or equivalent.

Preferred Education:

  • Associate's or Bachelor's Degree.

Experience Requirements

Typical Experience Range:

  • 2-4 years of experience in a direct customer-facing role, such as hospitality, high-end retail, client services, or event support.

Preferred:

  • Direct experience working on-site at conferences, trade shows, or large-scale corporate events is highly preferred. A background as a hotel concierge, in VIP services, or in a luxury brand environment is a significant asset.
