Core Responsibilities
Primary Functions
- Conceptualize, design, and develop comprehensive creative concepts for a diverse range of events, including corporate conferences, brand activations, product launches, and gala dinners.
- Lead creative brainstorming sessions with clients and internal stakeholders to define event goals, themes, and key messaging.
- Develop and present compelling design proposals, including detailed mood boards, 2D layouts, and photorealistic 3D renderings to effectively communicate the creative vision.
- Design and manage all aesthetic and environmental elements of an event, including spatial planning, scenic design, lighting, audio-visual integration, decor, and furniture selection.
- Create detailed and accurate floor plans and site maps that optimize attendee flow, engagement, and overall guest experience while adhering to venue constraints.
- Source, negotiate with, and manage a network of external vendors, fabricators, and suppliers to procure all necessary design elements, from custom builds to floral arrangements.
- Oversee the entire design production lifecycle, ensuring all creative components are fabricated and delivered on time, on budget, and to the highest quality standard.
- Provide on-site art direction and creative oversight during event installation and dismantle, leading crews and making real-time decisions to ensure flawless execution of the design plan.
- Develop and meticulously manage the design portion of the event budget, tracking expenses and identifying cost-saving opportunities without compromising creative integrity.
- Design custom scenic elements, staging, and interactive installations that serve as focal points and drive attendee engagement.
- Specify materials, finishes, color palettes, and textures for all environmental components to ensure a cohesive and high-end aesthetic.
- Collaborate directly with clients throughout the design process, acting as the primary creative point of contact to build trust and ensure their vision is realized.
- Stay at the forefront of industry trends, emerging technologies, and innovative materials to continuously introduce fresh and groundbreaking ideas.
Secondary Functions
- Work in close partnership with event producers and technical directors to ensure seamless integration of design, logistics, and technology.
- Create detailed run-of-show documents and production schedules specifically for design-related cues and transitions.
- Direct the graphic design process for all event-related visual communications, including digital invitations, on-screen content, and environmental signage, to ensure brand consistency.
- Conduct thorough site inspections and venue assessments to identify creative opportunities and logistical challenges early in the planning process.
- Ensure all design elements and structures comply with health, safety, and fire code regulations, as well as specific venue policies.
- Develop and maintain a comprehensive library of trusted vendors, design resources, project case studies, and creative assets for future use.
- Provide creative guidance for event photography and videography to ensure the final assets accurately capture the essence and scale of the design.
- Participate in post-event debriefs, gathering feedback and analyzing the success of design elements to refine processes for future projects.

Experience Requirements

Preferred: 5+ years of experience with a strong portfolio showcasing a variety of executed projects, including large-scale corporate events and brand activations. Experience managing design budgets over $100k is highly desirable.
