Core Responsibilities
Primary Functions
- Assist the event management team with the end-to-end planning, coordination, and execution of virtual, hybrid, and in-person events.
- Conduct comprehensive research on potential venues, vendors, and suppliers, compiling findings and presenting recommendations to the team.
- Communicate directly with vendors (caterers, A/V technicians, decorators) to obtain quotes, confirm bookings, and coordinate logistics.
- Support the creation and management of detailed event timelines, project plans, and production schedules to ensure all deadlines are met.
Z- Manage event registration processes, including building registration pages, monitoring sign-ups, and responding to attendee inquiries. - Prepare and organize essential event materials, such as name badges, attendee lists, presentation slides, and informational packets.
- Provide critical on-site or virtual event day support, including setup, registration/check-in, attendee assistance, and breakdown.
- Assist in tracking event budgets, processing invoices, and maintaining accurate financial records for all assigned events.
- Collaborate with the marketing team to draft and schedule promotional content, including email invitations, social media posts, and website updates.
- Manage and maintain the master event calendar, ensuring all key dates and deadlines are accurately documented and communicated.
- Coordinate speaker logistics, including scheduling briefing calls, collecting presentation materials, and managing travel arrangements.
- Assist in the development and distribution of post-event surveys to gather feedback from attendees, sponsors, and stakeholders.
Secondary Functions
- Participate actively in team brainstorming sessions, contributing innovative ideas for event themes, activities, and engagement strategies.
- Help manage and organize the inventory of event-related supplies, promotional materials, and branded merchandise (swag).
- Monitor event-specific social media channels and online communities to engage with attendees and answer questions in real-time.
- Compile and analyze post-event data to create comprehensive summary reports on attendance, engagement metrics, and ROI.
- Maintain and update the contact database (CRM) with accurate information for attendees, sponsors, vendors, and prospects.
- Research industry trends and competitor events to help our team stay on the cutting edge of event experiences.
- Attend internal and external meetings, taking detailed notes and distributing action items to relevant team members.
- Provide general administrative support to the events department, including scheduling meetings, filing documents, and preparing shipments.
- Assist in proofreading and editing all event-related communications and marketing collateral to ensure accuracy and brand consistency.
- Support the creation of sales and sponsorship materials, including presentations and one-pagers for potential partners.
Required Skills & Competencies
Hard Skills (Technical)
- High proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google Workspace.
- Familiarity with event management or registration software (e.g., Eventbrite, Cvent, Luma).
- Basic experience with email marketing platforms (e.g., Mailchimp, Constant Contact).
- Knowledge of major social media platforms (LinkedIn, Instagram, Twitter, Facebook) for professional use.
- Experience with project management tools like Asana, Trello, or Monday.com is a strong plus.
- Basic design skills using tools like Canva for creating simple graphics and marketing materials.

Education & Experience
Educational Background
Minimum Education:
