Core Responsibilities

Primary Functions

  • Lead the end-to-end planning and execution of a wide range of events, including conferences, trade shows, webinars, client appreciation events, and internal company functions.
  • Develop and manage detailed event project plans, timelines, and budgets, ensuring all milestones are met on time and within financial parameters.
  • Source, negotiate contracts with, and manage relationships with external vendors, including venues, caterers, AV technicians, decorators, and transportation services.
  • Conduct thorough site inspections and venue selections, evaluating suitability based on capacity, technical capabilities, budget, and brand alignment.
  • Collaborate with marketing and communications teams to develop and implement integrated promotional strategies to drive event attendance, sponsorship, and engagement.
  • Oversee all logistical aspects of events, such as registration and ticketing, attendee communications, travel and accommodation arrangements, and on-site signage.
  • Define event goals and key performance indicators (KPIs), and meticulously track metrics to measure success and calculate return on investment (ROI).
  • Manage on-site event execution, acting as the primary point of contact to troubleshoot issues in real-time and ensure a seamless, high-quality experience for all attendees, speakers, and sponsors.
  • Create and manage the run-of-show, speaker schedules, and staff briefings to ensure all participants are aligned and informed for flawless execution.
  • Develop and implement comprehensive risk management plans, including contingency strategies for potential challenges such as weather, technical failures, or security concerns.
  • Coordinate with internal stakeholders across various departments (Sales, Product, Executive Leadership) to ensure event objectives and messaging are consistent with overall business strategy.
  • Conduct post-event debriefs and create comprehensive reports detailing outcomes, attendee feedback, budget reconciliation, and actionable recommendations for future improvements.
  • Stay current with industry trends, emerging technologies (e.g., event apps, AI tools, virtual platforms), and best practices in event management to continuously innovate and elevate our event experiences.
  • Manage the invitation and registration process, utilizing event management platforms to streamline data collection, reporting, and attendee communication.
  • Oversee the design and production of all event-related collateral, including websites, emails, presentations, and physical materials, ensuring brand consistency.
  • Recruit, train, and manage event staff and volunteers, clearly defining roles and responsibilities for effective on-site support.
  • Ensure all events comply with legal, safety, and health regulations, including obtaining necessary permits, insurance, and accessibility standards.
  • Develop sponsorship packages and work with the sales or partnership teams to secure and manage event sponsors, ensuring all contractual obligations are met.
  • Manage the technical production of virtual and hybrid events, including platform selection, speaker tech checks, and live stream management.
  • Curate event content and agendas by sourcing and securing compelling speakers, panelists, and entertainers that align with the event's theme and audience.
  • Handle all pre- and post-event communications with attendees, speakers, and sponsors to provide critical information and gather valuable feedback.

Education & Experience

Educational Background

Minimum Education:

  • Bachelor’s Degree in a relevant field.

  • Industry certifications such as CMP (Certified Meeting Professional) or CSEP (Certified Special Events Professional) are highly regarded.

Experience Requirements

  • Experience in a fast-paced corporate or agency environment is highly desirable.
