Core Responsibilities

Primary Functions

  • Conceptualize, plan, and execute a wide range of virtual, hybrid, and in-person events, from large-scale conferences and trade shows to intimate client dinners and corporate retreats.
  • Manage the entire event project lifecycle, including developing detailed project plans, timelines, and checklists to ensure all deadlines and objectives are met.
  • Develop, manage, and reconcile complex event budgets, tracking all expenses meticulously and ensuring events are delivered within financial parameters while maximizing return on investment.
  • Source, negotiate with, and manage relationships with a vast network of external vendors, including venues, caterers, audio-visual providers, transportation companies, and promotional suppliers.
  • Conduct thorough site inspections and lead the selection process for event venues that align with the event's goals, brand image, and logistical requirements.
  • Oversee all event logistics, including registration and attendee tracking, travel arrangements, accommodations, and pre- and post-event communication strategies.
  • Collaborate with marketing and communications teams to develop compelling event themes, messaging, and promotional materials to drive attendance and engagement.
  • Coordinate the design and production of all event collateral, including invitations, agendas, signage, presentations, and digital assets.
  • Plan and manage on-site event execution, acting as the primary point of contact to troubleshoot issues, direct staff and vendors, and ensure a seamless experience for all attendees.
  • Develop comprehensive staffing plans for events, including the recruitment, training, and management of volunteers and temporary event staff.
  • Coordinate with internal stakeholders, executives, and guest speakers to manage their participation, travel, and presentation requirements.
  • Implement and manage event technology platforms for registration, virtual event hosting, mobile apps, and attendee engagement tools (e.g., Cvent, Bizzabo, Hopin).
  • Create detailed run-of-show documents and conduct pre-event briefings with all staff, vendors, and key stakeholders to ensure alignment and clarity.
  • Manage the procurement of event-related permits, insurance, and licenses, ensuring full compliance with all local, state, and federal regulations.
  • Design and implement post-event evaluation processes, including creating and distributing surveys to gather attendee feedback for future improvements.
  • Analyze event performance data and generate comprehensive post-event reports outlining key metrics, successes, challenges, and ROI for senior leadership.
  • Stay ahead of industry trends, emerging technologies, and best practices in event management to continuously innovate and enhance our event strategies.
  • Manage the event-related inventory, including promotional items, signage, and equipment, ensuring it is well-maintained and organized.
  • Develop and implement risk management and contingency plans for all events to proactively address potential issues.
  • Lead contract review and negotiation processes with all third-party vendors, ensuring favorable terms and mitigating legal and financial risks.

Education & Experience

Educational Background

Minimum Education:
