Core Responsibilities
Primary Functions
- Provide comprehensive administrative and logistical support to the lead event planners throughout the entire event lifecycle, from initial brainstorming to post-event analysis.
- Manage and meticulously maintain event calendars, project timelines, and detailed checklists to ensure all deadlines and milestones are met on schedule.
- Act as a primary point of contact for attendees, handling inquiries, managing registration processes, and distributing pre-event communications and materials.
- Research, vet, and liaise with external vendors, including caterers, audio-visual providers, venues, and transportation services, to obtain quotes and ensure service alignment.
- Assist in the preparation and tracking of event budgets, processing invoices, managing expense reports, and identifying potential cost-saving opportunities.
- Coordinate the preparation, assembly, and shipment of all event-related materials, such as name badges, signage, welcome packets, and promotional items.
- Provide critical on-site support during events, including managing the registration desk, assisting with room setup, directing attendees, and troubleshooting issues as they arise.
- Manage guest lists and RSVP tracking using event management software, providing regular updates to the planning team.
- Schedule and coordinate internal and external planning meetings, prepare agendas, take detailed minutes, and distribute action items to relevant stakeholders.
- Assist in the development of event marketing materials and contribute to promotional campaigns across social media, email, and web platforms.
- Conduct post-event activities, including the distribution of attendee surveys, collection of feedback, and compilation of comprehensive summary reports.
- Maintain and organize a central database of preferred vendors, venues, contacts, and historical event data for future reference.
Secondary Functions
