Core Responsibilities

Primary Functions

  • Spearhead the end-to-end planning and execution of a diverse portfolio of corporate events, including conferences, seminars, trade shows, product launches, webinars, and internal team-building activities.
  • Develop and manage comprehensive event project plans, timelines, and critical paths, ensuring all milestones are met on schedule and within budget.
  • Conduct thorough venue research, site inspections, and contract negotiations to secure optimal locations that align with event objectives and brand standards.
  • Act as the primary point of contact for and manage relationships with a wide array of external vendors, including caterers, AV technicians, designers, transportation services, and promotional staff.
  • Create, manage, and reconcile detailed event budgets, tracking all expenses meticulously and providing regular financial reporting to stakeholders.
  • Collaborate with the marketing team to develop and implement integrated promotional strategies to drive event attendance, engagement, and brand visibility.
  • Oversee the entire attendee journey, from managing registration platforms and sending communications to ensuring a seamless on-site or virtual check-in experience.
  • Coordinate all logistical elements for events, including room layouts, audio-visual requirements, presentation materials, signage, and staffing schedules.
  • Manage speaker and talent acquisition, including outreach, contract negotiation, and coordination of travel, accommodation, and on-site requirements.
  • Lead on-site event execution, overseeing setup, registration, session management, and breakdown, while acting as the main point of contact to troubleshoot any issues that arise in real-time.
  • Develop and implement post-event evaluation processes, including creating and distributing attendee surveys to gather feedback for future improvements.
  • Analyze event performance and key metrics (KPIs) such as attendance rates, lead generation, and ROI, compiling comprehensive reports for senior management.
  • Ensure all events strictly adhere to brand guidelines, messaging, and quality standards to deliver a consistent and professional brand experience.
  • Develop creative and innovative event concepts and themes that align with marketing campaigns and overall business objectives.
  • Manage the inventory of event-related materials, such as banners, tablecloths, and promotional merchandise, ensuring they are properly maintained and stored.
  • Research and stay current with industry trends, new event technologies, and competitor activities to bring fresh and innovative ideas to the organization.

Secondary Functions

  • Support the development of sponsorship packages and liaise with partners to ensure fulfillment of contractual obligations and a positive sponsorship experience.
  • Maintain and update the central event calendar, effectively communicating key dates and details to all relevant internal departments.
  • Collaborate with the sales team to ensure seamless lead capture and follow-up processes are in place for all lead-generating events.
  • Assist in managing content for event-specific websites, mobile apps, and social media channels in conjunction with the digital marketing team.
  • Support ad-hoc data requests and exploratory data analysis related to event performance and audience demographics.

  • Event Management Software: Proficiency in platforms such as Cvent, Bizzabo, Eventbrite, or similar event registration and management tools.
  • Project Management Tools: Experience using software like Asana, Trello, or Monday.com to manage complex timelines and tasks.
  • Budget Management: Advanced proficiency in Microsoft Excel or Google Sheets for creating and tracking complex budgets, formulas, and financial reports.
  • CRM Software: Familiarity with CRM systems like Salesforce or HubSpot for managing attendee data and tracking post-event leads.
  • Virtual Event Platforms: Experience hosting and producing events on virtual platforms like Zoom Webinars, Microsoft Teams Live Events, or On24.
  • Microsoft Office Suite: High level of skill in PowerPoint for creating compelling presentations and Word for professional communications.

Education & Experience

Educational Background

Minimum Education:

Experience Requirements

  • Experience in the B2B, technology, or financial services industries is a significant plus.
