Core Responsibilities
Primary Functions
- Actively invigilate and monitor candidates during examinations to prevent cheating and ensure adherence to exam regulations.
- Conduct thorough identity and attendance checks, verifying student credentials against official records before admitting them to the exam hall.
- Prepare the examination venue by arranging seating plans, distributing question papers, answer booklets, and other authorized materials.
- Clearly and confidently communicate instructions and announcements to candidates at the beginning and end of each examination.
- Circulate consistently throughout the exam room to provide a visible presence, respond to procedural queries, and deter academic misconduct.
- Manage the secure handling, distribution, and collection of all confidential examination materials, including papers and completed scripts.
- Ensure strict adherence to timed conditions, accurately managing the start, duration, and finish of each exam session.
- Set up, troubleshoot, and provide basic technical support for computer-based testing platforms and equipment.
- Implement approved special examination arrangements and accommodations for students with documented needs, such as extra time, private rooms, or assistive technology.
- Maintain a quiet, secure, and distraction-free environment conducive to concentration and fair assessment.
- Collect, count, and meticulously organize completed exam scripts, ensuring all materials are accounted for before dismissal.
- Complete all required administrative documentation with a high degree of accuracy, including attendance registers, seating charts, and incident reports.
- Promptly and confidentially report any suspected cases of academic malpractice, disruptions, or technical issues to the Lead Invigilator or Examinations Officer.
- Prepare and package completed examination scripts for secure dispatch to academic departments or external examiners.
Secondary Functions
- Assist in the training and briefing of new or temporary invigilation staff on policies and procedures.
- Support the Examinations Office with logistical tasks outside of live sessions, such as inventory management of exam stationery and supplies.
- Provide constructive feedback and written reports to the administration on the conduct of examinations to contribute to process improvement.
- Escort candidates to and from the examination room during authorized breaks to maintain security protocols.
- Reset and prepare examination rooms for subsequent sessions, ensuring all materials from the previous exam are securely removed.
- Assist with the post-exam scanning, filing, and archival of examination records and materials as required.
- Liaise with campus security or facilities management to address any environmental or safety concerns within the testing venue.
Required Skills & Competencies
Hard Skills (Technical)
- Proficiency with computer-based testing software and online proctoring platforms (e.g., ExamSoft, Respondus, Pearson VUE, Inspera).
