Core Responsibilities

Primary Functions

  • Administer a variety of high-stakes computer-based and paper-and-pencil examinations in strict accordance with publisher and institutional guidelines.
  • Meticulously verify candidate identification and eligibility documentation to prevent impersonation and ensure only authorized individuals are admitted.
  • Conduct comprehensive pre-exam briefings, clearly communicating test procedures, rules of conduct, and timing to all candidates.
  • Actively proctor and monitor test sessions, both in-person and remotely, to ensure the security and integrity of the exam process, identifying and addressing any irregularities.
  • Manage the secure check-in and check-out of candidates, including the secure storage of personal belongings prohibited in the testing area.
  • Set up, configure, and troubleshoot testing workstations, software applications, and peripherals to ensure a smooth and uninterrupted testing experience.
  • Maintain a quiet, secure, and distraction-free environment conducive to optimal candidate performance throughout the entire examination period.
  • Respond promptly and professionally to candidate inquiries and resolve technical or procedural issues as they arise, escalating complex problems as necessary.
  • Uphold the highest level of confidentiality regarding all candidate information, test content, and examination results.
  • Prepare, distribute, and collect all secure examination materials, maintaining a precise chain of custody for both physical and digital assets.
  • Document and report all testing incidents, irregularities, or potential breaches of security with accuracy and detail using designated reporting systems.
  • Operate and monitor surveillance equipment (CCTV) to ensure the constant observation of the testing environment.
  • Manage testing schedules and appointments, ensuring optimal utilization of testing center resources and capacity.
  • Perform daily opening and closing procedures for the testing center, including system start-ups, shutdowns, and facility checks.
  • Maintain accurate and organized administrative records, including sign-in sheets, incident reports, and test-day rosters.
  • Assist in the scoring of specific examinations and the processing of results where applicable, following precise scoring rubrics.
  • Conduct regular audits of testing equipment and software to ensure functionality and compliance with technical specifications.
  • Provide exceptional customer service to create a supportive and positive atmosphere, reducing test-day anxiety for candidates.
  • Enforce all testing policies and procedures without exception to guarantee a fair and equitable experience for every participant.
  • Participate in ongoing training and certification programs to stay current with new testing platforms, security protocols, and client requirements.
  • Collaborate with the Test Center Manager to review and refine operational procedures for increased efficiency and security.

Secondary Functions

  • Support ad-hoc administrative requests, including compiling exam session data and generating basic reports on candidate volume and incidents.
  • Contribute to the continuous improvement of testing protocols and candidate service strategies by providing on-the-ground feedback.
  • Collaborate with test administrators and program coordinators to ensure all specific exam accommodation requirements are prepared and met.
  • Participate in team meetings and training sessions to stay current on policies, software updates, and best practices in the assessment industry.

Required Skills & Competencies

Hard Skills (Technical)

  • Test Administration Software: Proficiency with platforms such as Pearson VUE, Prometric, ExamSoft, or similar computer-based testing systems.
  • Microsoft Office Suite: Competency in using MS Word, Excel, and Outlook for reporting, scheduling, and communication.
  • Hardware & Software Troubleshooting: Ability to diagnose and resolve common technical issues with PCs, monitors, keyboards, mice, and testing applications.
  • Data Entry & Management: High accuracy in entering and managing candidate data within administrative systems.
