Core Responsibilities
Primary Functions
- Act as the primary point of contact and strategic gatekeeper, meticulously managing the executive's time and inbox, prioritizing inquiries and requests with exceptional judgment.
- Proactively manage and optimize an extremely complex and dynamic calendar, coordinating across multiple international time zones and ensuring the executive is prepared and on time for all engagements.
- Orchestrate complex domestic and international travel arrangements, including flights, accommodations, and ground transportation, creating comprehensive, detail-oriented itineraries that anticipate all logistical needs.
- Prepare and process expense reports in a timely and accurate manner, ensuring compliance with company policy and efficient reconciliation of corporate credit cards.
- Coordinate and manage logistics for key meetings, including preparing agendas, compiling and distributing briefing materials, reserving and setting up conference rooms, and arranging catering.
- Attend critical meetings to capture detailed meeting minutes, track action items, and ensure timely follow-up by all relevant stakeholders.
- Draft, proofread, and edit high-stakes communications, presentations, and reports on behalf of the executive, ensuring a high level of quality, accuracy, and brand consistency.
