Core Responsibilities
Primary Functions
- Act as the primary gatekeeper and point of contact for the executive, triaging all incoming requests and correspondence to ensure their time is allocated to the highest-priority issues.
- Strategically manage and optimize the executive's complex and dynamic calendar, including scheduling meetings across multiple time zones, prioritizing inquiries, and resolving conflicts with impeccable judgment.
- Coordinate intricate domestic and international travel arrangements, including flights, accommodations, ground transportation, and visa applications, preparing detailed, end-to-end itineraries.
- Prepare and brief the executive for all meetings and speaking engagements by compiling research, creating presentations, drafting talking points, and ensuring all necessary materials are available.
- Manage and execute special projects on behalf of the executive, from conception through completion, including cross-functional initiatives, team off-sites, and strategic planning sessions.
- Attend key meetings to capture detailed notes, identify action items, and ensure timely follow-up and execution by relevant stakeholders, holding team members accountable for deliverables.
- Draft, proofread, and finalize high-stakes internal and external communications, including emails, memos, board materials, and formal presentations, mirroring the executive's voice and style.
