Core Responsibilities

Primary Functions

  • Manage and maintain extremely complex and dynamic calendars for multiple executives, requiring seamless coordination and strategic prioritization of appointments, meetings, and events.
  • Act as the primary gatekeeper and point of contact for the executive team, expertly screening and triaging incoming requests and correspondence with a high degree of professionalism and discretion.
  • Coordinate intricate domestic and international travel arrangements, including airfare, accommodations, and ground transportation, while compiling comprehensive and detailed itineraries.
  • Prepare, submit, and track expense reports with meticulous accuracy on behalf of the executives, ensuring compliance with all company policies and timely reimbursement.
  • Plan, coordinate, and execute all logistical aspects of internal and external meetings, including board meetings, leadership off-sites, and client-facing engagements from agenda creation to AV setup and catering.
  • Prepare, edit, and format high-level correspondence, confidential documents, reports, and presentations, ensuring they are polished, professional, and error-free.
  • Handle highly sensitive and confidential information relating to company strategy, personnel, and financials with the utmost integrity and discretion.
  • Proactively anticipate the needs of the executive team by identifying potential conflicts, challenges, or opportunities and taking initiative to resolve them independently.
  • Serve as a key liaison between the executive team and other departments, employees, clients, and external partners to facilitate clear communication and drive collaboration.
  • Track key deliverables and action items from meetings, following up with stakeholders to ensure accountability and timely completion of tasks.
  • Develop and maintain strong, positive working relationships with internal and external stakeholders, including board members and key clients' offices.
  • Manage and organize critical digital and physical files, ensuring documents are easily accessible and systems are kept up-to-date.
  • Conduct research, compile data, and prepare briefing materials to support executive decision-making on various strategic initiatives.
  • Provide comprehensive support for team-wide events and morale-building activities, fostering a positive and engaged team culture.
  • Assist with the onboarding process for new executives and team members, coordinating schedules and ensuring a smooth integration into the company.

Secondary Functions

  • Manage special projects as assigned by the executive team, overseeing them from conception to completion while providing regular status updates.
  • Assist in the preparation and logistics for company-wide town halls and all-hands meetings, coordinating with various departments to ensure a seamless event.
  • Contribute to the continuous improvement of administrative processes and team workflows by identifying inefficiencies and proposing effective solutions.
  • Provide backup support to other administrative professionals within the organization during absences or periods of high demand, demonstrating a collaborative spirit.

Required Skills & Competencies

Hard Skills (Technical)

  • Expert-level proficiency in Microsoft Office Suite, particularly Outlook for complex calendaring, as well as PowerPoint, Excel, and Word for creating executive-level documents.
  • Advanced knowledge of Google Workspace (G Suite), including Gmail, Google Calendar, Docs, Sheets, and Slides.
  • Extensive experience with modern communication and collaboration tools such as Slack, Microsoft Teams, and video conferencing platforms like Zoom and Webex.
  • Proficiency with travel booking platforms (e.g., Concur, TripActions) and expense management software (e.g., Expensify, SAP Concur).
  • Familiarity with basic project management tools like Asana, Trello, or Monday.com to track tasks and initiatives.
  • Fast and accurate typing skills with a strong command of grammar, punctuation, and professional business communication.
  • Experience with CRM systems like Salesforce is a significant plus.
