Core Responsibilities
Primary Functions
- Manage the entire export process from order receipt to final delivery, ensuring timely and accurate execution of international shipments.
- Prepare, review, and process all necessary export documentation, including commercial invoices, packing lists, shipper's letters of instruction (SLI), bills of lading (Air Waybill/Ocean Bill of Lading), and certificates of origin.
- Ensure strict compliance with all applicable international trade laws and regulations, such as the Export Administration Regulations (EAR), International Traffic in Arms Regulations (ITAR), and sanctions programs administered by the Office of Foreign Assets Control (OFAC).
- File Electronic Export Information (EEI) through the Automated Export System (AES) Direct portal accurately and within the required timeframes.
- Coordinate and negotiate with freight forwarders, carriers, and third-party logistics (3PL) providers to secure competitive rates and optimal routing for air, ocean, and ground transport.
- Classify products with the correct Harmonized Tariff Schedule (HTS) codes and Export Control Classification Numbers (ECCN) to ensure proper customs declaration.
- Act as the primary point of contact for international customers regarding shipment status, providing proactive updates and resolving any in-transit issues.
- Manage and process shipments requiring letters of credit, ensuring all documentation strictly adheres to the terms and conditions to facilitate timely payment.
- Track and trace international shipments, monitor transit milestones, and troubleshoot any delays, damages, or customs holds by working with carriers and brokers.
- Conduct denied party screening (DPS) for all parties involved in export transactions to ensure compliance with government watch lists.
- Maintain a comprehensive and organized record-keeping system for all export transactions, ensuring files are audit-ready at all times.
- Collaborate closely with internal departments, including sales, finance, warehousing, and production, to align on export requirements and shipment schedules.
- Analyze and report on key export metrics, such as freight costs, carrier performance, and on-time delivery rates, to identify areas for process improvement.
- Stay current on changes to Incoterms, trade agreements, and international shipping regulations to advise the business and mitigate compliance risks.
- Resolve any customs-related issues or inquiries by providing necessary documentation and clarification to customs authorities or brokers.
- Oversee the application process for export licenses and permits when required for controlled goods, and manage the lifecycle of those licenses.
- Vet and onboard new freight forwarders and logistics partners, establishing service level agreements (SLAs) and performance expectations.
- Provide training and guidance to other team members on export procedures, compliance requirements, and best practices.
- Audit freight invoices for accuracy, approve payments, and assist the finance department in reconciling logistics-related expenses.
- Develop and maintain Standard Operating Procedures (SOPs) for the export function to ensure consistency and operational excellence.
